Job summary

Haddad Plumbing and Heating Inc. in Newark, New Jersey seeks a detail-oriented Purchasing Clerk to support the Purchasing department by entering and maintaining purchasing, inventory, and vendor data in Excel and internal systems.

You will process POs, track materials, and communicate with vendors to ensure timely project delivery. The ideal candidate is highly organized, accurate, and comfortable with data entry in a fast-paced office.

Qualifications

• High school diploma or equivalent required.
• Proficiency in Excel and MS Word.
• Strong attention to detail and accuracy.
• Fast and accurate typing skills.

Responsibilities

• Accurately verify incoming and outgoing materials against POs and delivery docs.
• Track and maintain inventory levels in the accounting program for real-time accuracy.
• Create, process and manage purchase orders and monitor status for timely delivery.
• Communicate with vendors to confirm pricing, availability, and delivery timelines.
• Follow up on outstanding orders and resolve discrepancies with vendors or internal teams.
• Maintain organized records of POs, invoices, packing slips and communications.
• Assist with inventory counts, cycle counts, and reconciliation of discrepancies.
• Generate reports on inventory levels, material usage, and order status.
• Support Project Managers and field teams with timely procurement of materials.
• Coordinate with Accounting for invoice matching and PO verification.
• Identify low stock or overstock situations and potential shortages.
• Support ongoing improvement of purchasing and inventory processes.
• Assist with various data entry and administrative tasks as needed.
