Job summary

The role requires attention to detail, fast data entry, and proficiency with Excel and MS Word in a fast-paced office environment. Reports to the Purchasing Manager and collaborates with project teams to ensure timely procurement.

Responsibilities

• Verify incoming and outgoing materials match purchase orders and delivery documentation.
• Track and maintain inventory levels in the accounting program for real-time accuracy.
• Create, process and manage purchase orders, tracking status and timely delivery.
• Communicate with vendors to confirm pricing, availability and delivery timelines.
• Follow up on outstanding or delayed orders and resolve discrepancies with vendors or internal teams.
• Maintain organized records of purchase orders, invoices, packing slips and vendor communications.
• Assist with inventory counts, cycle counts and reconciliation of discrepancies.
• Generate and present reports on inventory levels, material usage, order status and variances.
• Support project managers and field teams by ensuring timely procurement of materials for jobs.
• Coordinate with Accounting to assist with invoice matching and purchase order verification.
• Identify and report low stock levels, overstock situations, or potential material shortages.
• Support continuous improvement of purchasing and inventory processes.
• Assist with various data entry and administrative tasks as needed.
