Clay Today is seeking a Sales Order Entry Specialist to accurately process customer orders from receipt to entry in the ERP/order management system. The role requires attention to detail, strong computer skills, and the ability to work independently in a fast-paced office setting.

The ideal candidate has 1–3+ years in order entry or sales support, proficiency with Microsoft Office, and experience with ERP systems.

Qualifications

• High school diploma or equivalent required.
• Associate degree preferred.

Responsibilities

• Accurately enter customer purchase orders into the ERP/order management system in a timely manner.
• Review orders for completeness and accuracy, including pricing, quantities, part numbers, shipping terms, and delivery dates.
• Verify order details against customer purchase orders, quotes, and contracts to ensure consistency.
• Communicate with customers, sales representatives, and internal departments to resolve order discrepancies or missing information.
• Track order status and proactively follow up on outstanding or delayed orders.
• Maintain accurate and organized records of orders, confirmations, and related correspondence.
• Process order changes, cancellations, and returns according to company policy.
• Coordinate with production, shipping, and accounting departments to ensure orders are fulfilled correctly and on schedule.
• Generate order confirmations and provide accurate lead-time information to customers.
• Assist with monitoring inventory availability as it relates to order fulfillment.
• Identify and report recurring issues or process inefficiencies to management.
• Support month-end and reporting activities related to order entry and sales data as needed.
