Associa Community Group in Newport News, VA, is seeking a Portfolio Community Manager to support onsite staff and oversee administrative, maintenance, and capital projects for multiple HOA/condo communities.

The role requires 2+ years in community association management, strong budgeting, and stakeholder communication. Occasional evenings/weekends may be required for board meetings and events. A CMCA certification is encouraged and company-paid within the first year.

Qualifications

• 2+ years of experience in community association, single-family, multifamily, apartment management, leasing, or vacation rental.
• Understanding of the relationships among the Board of Directors, Community Manager, and homeowners.
• Willingness to obtain CMCA within first year of employment (company paid).
• Customer service driven and team oriented.
• Ability to read and interpret financials: Balance Sheet, Income Statement, Operating Expenses, Reserves, Delinquency Reports.

Responsibilities

• Onsite role at the corporate office in Newport News.
• Work hours 8am-5pm with occasional nights and weekends for board meetings and events.
• Research and respond to inquiries by phone and email.
• Enter and update data in the database.
• Assist homeowners with monthly payments and architectural review forms; follow up on board decisions.
• Record and track documents and information.
• Issue violation letters and ensure remedies are completed.
• Prepare and send communications to homeowners about guidelines and events.
• Source vendors, submit RFPs, manage bidding and vendor selection for capital projects.
• Prioritize maintenance requests and coordinate vendors on site.
• Prepare board packets and agendas; schedule monthly/quarterly/annual meetings.
• Create and manage budgets; review financial reports and reserves.
