Job summary

The Town of Gilbert is seeking a Police Records Specialist I to join Team Gilbert. This role compiles, reviews for quality, disseminates, maintains and secures police records, serving as the primary contact for agencies and the public seeking records.

You will handle redaction, data entry into RMS and Brazos, process payments, and support background checks while adhering to FOIA and privacy rules. Flexibility with shifts is required.

Qualifications

  • High school diploma or GED required.
  • Two years of fast-paced customer service or data entry experience.
  • One year of experience with State or Law Enforcement based records is desirable.
  • Ability to pass a law enforcement background including polygraph and drug screening.
  • Bilingual in English and Spanish desirable.

Responsibilities

  • Processes all requests for police reports or records and reviews all submitted documents for validity, accuracy and completeness.
  • Scans and indexes records into electronic document management systems and assists with records filing, retention, and destruction.
  • Reviews submitted police officer reports for validity, accuracy and completeness and consults with officers, detectives and supervisors as needed regarding report discrepancies.
  • Performs redaction of requested police records based upon FOIA and state/local laws and guidelines pertaining to security of sensitive information.
  • Collects and processes cash and credit card payments for records that are provided.
  • Data entry and dissemination of citations into RMS and secondary Brazos system when applicable.
  • Perform DPS Validations of all missing persons, stolen vehicles, license plates and articles.
  • Perform local background checks for law enforcement agencies and the public.
  • Enters and clears warrants, stolen vehicles, and other property information and missing persons information into local, state, and national databases.

Team Gilbert has an exciting opportunity for a highly motivated professional to fill the position of Police Records Specialist I.

The Police Records Specialist I reports to the Police Records Shift Supervisor. The primary purpose of the Police Records Specialist position is to compile, review for quality assurance, disseminate, maintain and secure police records. This position serves as primary point of contact via phone/fax/mail/email/in-person for law enforcement, other governmental agencies, public, media, insurance companies and attorneys requesting police records and provides direction, details, and answers to questions concerning police reports, cases, and various police-related information.

Essential Duties and Responsibilities
  • Processes all requests for police reports or records and reviews all submitted documents for validity, accuracy and completeness.
  • Scans and indexes records into electronic document management systems and assists with records filing, retention, and destruction.
  • Reviews submitted police officer reports for validity, accuracy and completeness and consults with officers, detectives and supervisors as needed regarding report discrepancies.
  • Performs redaction of requested police records based upon Federal Freedom of Information Act and state/local laws and guidelines pertaining to the security of personal and/or law-enforcement sensitive information.
  • Collects and processes cash and credit card payments for records that are provided.
  • Data entry and dissemination of citations into RMS and secondary Brazos system when applicable.
  • Perform DPS Validations of all missing persons, stolen vehicles, license plates and articles.
  • Perform local background checks for law enforcement agencies and the public.
  • Enters and clears warrants, stolen vehicles, and other property information and missing persons information into local, state, and national databases. Confirms the validity of previously-entered information, upon request.
  • Other duties as assigned.

  • High school diploma or GED.
  • Two years of experience in a fast-paced customer service, data entry, clerical or related field.
  • One year of experience with State or Law Enforcement based records is desirable.
  • Ability to work rotating shifts to include nights, holidays, weekends, overtime, and overnight shifts.
  • Bilingual in English and Spanish is desirable.
  • Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
  • Ability to pass a law enforcement background including polygraph and drug screening.
Licensing / Certifications

Obtain and maintain Level A Terminal Operator Certification within six months of hire.

Special Requirement

Because of the confidential, sensitive nature of information handled, successful completion of a background investigation and polygraph is required.

This position is an At-Will position and is FLSA Non-Exempt - eligible for overtime compensation.
