Job summary

JLL in Mountain View, CA is seeking an Operations Specialist to support the Project Management Office by ensuring financial data integrity and smooth project delivery. You will collaborate with Project Managers and offshore coordinators to drive financial execution.

Key duties include setting up project records in Google Drive, managing invoices and SOWs, administering Change Orders, and tracking expenditures. This role emphasizes organization, communication, and attention to detail.

Qualifications

• Bachelor's degree preferred in a related field.
• Experience tracking project financials and managing contract docs strongly preferred.
• Proficiency with project management tools (ADW, eBuilder, DocuSign) and Google Workspace/Shared Drives a plus.
• Strong organizational, analytical, and communication skills with attention to detail.

Responsibilities

• Establish Google Drive repositories and maintain project records; support leases and depreciation slides.
• Reconcile vendor invoices, draft Task Orders and SOWs, manage bid submissions via Total Bid.
• Administer Change Orders and track technical deliverables; archive contracts and invoices.
• Synchronize actual expenditures and forecasts with PJMs; track project scope changes.
• Execute closeout checklists, assemble DCO packages, update Capital Planning systems.
• Facilitate vendor onboarding and manage PMO action items for OPEX projects.
