Jobtailor is seeking an experienced healthcare office administrator in New Jersey to oversee scheduling, staffing, and billing workflows across multiple locations.

You will work with providers to optimize scheduling, manage resources, monitor revenue cycles, and ensure compliance with CMS, CLIA, DOH, and OSHA standards. Strong communication, organizational, and supervisory skills are essential, with experience in EHRs and billing systems.

Qualifications

  • High school diploma or GED
  • One year of experience in a healthcare office setting with supervisory duties
  • Excellent organizational, interpersonal, conflict resolution, and verbal and written communication skills
  • Solid knowledge of and experience in billing and health insurance guidelines and practices, including commercial, CMS and managed care payers
  • Solid knowledge of and ability to use electronic health records, scheduling, charging and billing systems
  • Intermediate to advanced computer skills
  • Proficient with Microsoft word and excel
  • Ability to effectively manage multiple locations and respond efficiently and effectively within several fast paced environments
  • Knowledge of insurance, ICD-9/10 coding, CMS regulations, state/federal regulations, CLIA, DOH, and OSHA regulations preferred
  • Bachelor's degree in business preferred

Responsibilities

  • Work directly with providers to implement scheduling for maximum productivity
  • Coordinate scheduling of exam rooms, equipment, and other resources
  • Schedule staff to ensure adequate coverage, including cross-coverage between locations
  • Recommend ways to enhance practice growth and volume
  • Approve expenditures and manage office inventory, supplies, and equipment
  • Ensure supplies and setup for efficient nighttime services
  • Interview and hire employees for various locations while adhering to salary budgets
  • Appraise performance, reward and discipline employees, and resolve complaints and problems
  • Complete monthly referrals, provider hours and vacation, and financial reports accurately and on time
  • Attend CH meetings and coordinate practice management participation in provider meetings
  • Conduct ongoing staff meetings with documented minutes
  • Focus on patient satisfaction goals to increase volume
  • Ensure performance reviews, in-service education, and employee compliance issues are addressed timely
  • Operate fiscally responsibly to achieve efficiency and follow established policies and procedures
  • Ensure physicians and staff adhere to DNV-GL standards and CH coding requirements
  • Interact with insurance and managed care companies and the central billing office regarding billing and referrals
  • Research feasibility of accepting new plans and complete applications with billing manager input
  • Participate in budgeting, recommend equipment needs, monitor budget compliance, and manage accounts payable
  • If working in MFM, arrange and facilitate bi-weekly case conferences
