Job summary

Tulsa Center for Rehabilitation & Healthcare is seeking a proactive Personal Assistant to support the CEO in daily operations, scheduling, and confidential administrative tasks. The role involves calendar management, communications, and coordinating meetings and travel for the executive team.

The ideal candidate will be highly organized, reliable, and capable of handling multiple tasks with discretion, including occasional off-hours support and personal scheduling responsibilities for the CEO.

Qualifications

  • High school diploma or GED required.
  • Associate's or bachelor's degree preferred.
  • Minimum of 2 years of executive/personal assistant experience preferred.
  • Healthcare or long-term care experience preferred.
  • Excellent organizational and time-management skills.
  • Proficient in Microsoft Office Suite, email platforms, scheduling software, and office technology.
  • Ability to multitask and maintain confidentiality.

Responsibilities

  • Manage and maintain the CEO's calendar, appointments, meetings, and travel arrangements.
  • Coordinate daily schedules and prioritize appointments.
  • Screen phone calls, emails, and correspondence for the CEO.
  • Coordinate meetings, interviews, orientations, and special events.
  • Take meeting minutes and distribute follow-up documentation.
  • Ensure office operations run efficiently and professionally.
  • Provide occasional support outside standard business hours when necessary.
  • Assist in personal scheduling and errands for the CEO.
  • Coordinate reservations, appointments, and travel logistics.

Personal Assistant

Join Tulsa Center for Rehabilitation & Healthcare, a skilled nursing and rehabilitation community serving Tulsa and the surrounding area, as a highly organized and professional Personal Assistant to the CEO. Our team includes experienced nurses, therapists, and caregivers who work together to create individualized care plans for each resident.

About the Role

We are seeking a proactive, detail-oriented, and dependable Personal Assistant to support the CEO in ensuring daily operations, communications, scheduling, and administrative responsibilities are handled efficiently and confidentially. As a Personal Assistant, you will play a critical role in managing the CEO's calendar, appointments, meetings, and travel arrangements, as well as screening phone calls, emails, and correspondence on their behalf.

Responsibilities
