Our client, a HNW family, is seeking a Personal Assistant to provide comprehensive day-to-day support for the family and help keep their personal, family, and household logistics running smoothly. This is a hands-on role for someone who is exceptionally organized, resourceful, and comfortable managing multiple priorities. The Personal Assistant will coordinate schedules, appointments, travel, vendors, errands, family activities, and special projects across the family's homes and properties. This is not a nanny or estate manager position. The focus is on personal assistance, family logistics, coordination, and administrative support.
Responsibilities
- Manage and coordinate family calendars, appointments, meetings, activities, and commitment
- Coordinate children's schedules, including school-related logistics, extracurricular activities, appointments, and transportation arrangements
- Assist with family travel planning, itineraries, transportation, accommodations, and related logistics
- Make reservations, purchases, appointments, and arrangements on behalf of the family
- Handle personal errands, shopping, returns, deliveries, and other day-to-day requests
- Assist with planning birthdays, celebrations, dinners, holidays, and other family events
- Research and organize services, activities, gifts, and special requests
- Anticipate the family's needs and proactively address upcoming tasks
- Help coordinate logistics between the family's primary residence and additional properties/estates
- Track appointments, service schedules, deliveries, and household-related projects
- Follow up with vendors to ensure tasks are completed properly and on schedule
- Maintain organized records, contacts, schedules, warranties, and other household information
- Manage correspondence, packages, documents, receipts, and personal records
- Assist with expense tracking, invoices, and reimbursements
- Maintain organized digital and physical files
- Coordinate communications with schools, clubs, service providers, and other organizations as needed
- Assist with special projects and research
- Handle confidential family information with the highest level of discretion
Qualifications
- Previous experience as a Personal Assistant, Family Assistant, Executive Assistant, or similar role
- Exceptional organizational and time-management skills
- Strong attention to detail and excellent follow-through
- Ability to manage multiple calendars, properties, vendors, and priorities
- Excellent written and verbal communication skills
- Highly proactive and comfortable anticipating needs
- Strong problem-solving skills and sound judgment
- Professional, polished, dependable, and discreet
- Comfortable working independently with minimal supervision
- Proficiency with Google Workspace, Microsoft Office, calendar platforms, and other organizational too
