Responsibilities

  • Process regular and off-cycle payrolls accurately and on schedule.
  • Review, validate, and reconcile time and attendance data prior to payroll submission.
  • Maintain and update employee payroll records, including pay rate changes and deductions.
  • Administer benefits and deductions with correct setup and ongoing calculation.
  • Apply federal and New Jersey payroll laws in daily processing.
  • Prepare and analyse payroll reports using Excel for discrepancies and audits.
  • Investigate and resolve payroll issues with HR and Finance.
  • Support year-end payroll activities and tax reporting.

This is a hands‑on opportunity to own end‑to‑end payroll coordination for a busy organisation, ensuring compliant, timely, and error‑free processing in a fast‑paced environment.

About the Role:

As a Contract Payroll Coordinator, you will be responsible for coordinating and executing all aspects of payroll processing for assigned employee groups. You will ensure that time and attendance data, tax withholdings, and benefit deductions are correctly captured and processed in line with federal and New Jersey state regulations. Your work will directly impact employee satisfaction and compliance, partnering closely with HR and Finance to maintain clean, reliable payroll data.

Key Responsibilities:
  • Process regular and off‑cycle payrolls accurately and on schedule for assigned employees.
  • Review, validate, and reconcile time and attendance data prior to payroll submission.
  • Maintain and update employee payroll records, including changes to pay rates, tax status, and deductions.
  • Administer benefits and other payroll deductions, ensuring correct setup and ongoing calculation.
  • Monitor and apply federal and New Jersey state payroll laws and regulations in daily processing.
  • Prepare and analyse payroll reports using Excel to identify discrepancies and support audits.
  • Investigate and resolve payroll issues or employee inquiries in coordination with HR and Finance.
  • Support year‑end payroll activities, including verification of tax withholdings and reporting data.
Key Requirements:
  • Proven experience in payroll processing and administration in a corporate or multi‑employee environment.
  • Strong working knowledge of federal and New Jersey state payroll laws and regulations.
  • Hands‑on experience with time and attendance data management and payroll systems.
  • Advanced attention to detail with a track record of delivering accurate, error‑free payrolls.
  • Proficiency in Excel for data analysis, reporting, and reconciliation tasks.
  • Solid understanding of tax withholding, taxable earnings, and payroll reporting requirements.
  • Experience administering benefits and other payroll‑related deductions.
  • Effective communication skills and ability to collaborate with HR, Finance, and employees.
  • Experience working in a contract or contingent workforce environment.
  • Familiarity with common payroll software platforms and HRIS systems.
  • Background supporting payroll audits or compliance reviews.
  • Exposure to multi‑state payroll processing beyond New Jersey.
Qualifications:
  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Payroll‑specific training or coursework in payroll administration preferred.
  • Professional payroll certification (such as FPC or CPP) is an advantage.
