Job Details: Job Location: Corporate NJ - North Branch, NJ 08876, Position Type: Full Time, Salary Range: $65,000.00 - $70,000.00 Salary/year, Job Shift: Day, Job Category: Human Resources, The Payroll Coordinator is responsible for accurate and timely processing of payroll and maintaining payroll related records for the organization within North America.
This position works closely with Corporate Human Resources, Corporate Finance/Accounting and local plant administration to ensure payroll information is complete, accurate and processed in accordance with company policies and applicable federal, state, and local requirements.
The payroll coordinator will handle payroll data entry and verification, timekeeping records, employee changes, payroll deductions, reporting and payroll related employee inquiries. The position requires a high level of confidentiality, accuracy, organization and attention to detail.
Essential Functions
- Process regular payroll accurately and timely in accordance with established payroll schedules.
- Review, verify and reconcile employee time keeping records before payroll is processed.
- Monitor time cards for missing punches, missed meals, overtime, attendance issues, and other discrepancies.
- Work with local Coordinators to resolve time keeping and payroll discrepancies.
- Process payroll information, including new hires, pay rate changes, transfers, promotions, terminations, deductions and other status changes.
- Process payroll deductions, including taxes, benefits, garnishments, child support, and other authorized deductions.
- Verify payroll calculations and identify incorrect errors before payroll is finalized.
- Maintain accurate payroll records and documentation.
- Respond to plant questions regarding pay deductions, time keeping, vacation balances, and other payroll matters.
- Coordinate with HR regarding employee onboarding status changes, leaves, benefits, and terminations that affect payroll.
- Assist with payroll and benefit related reporting, audits, reconciliations and record keeping.
- Prepare and maintain payroll reports as requested by management.
- Assist with the year-end payroll activities, including W2, preparation and reconciliation and ACA reporting.
- Assist with federal, state, and local payroll tax reporting and compliance activities.
- Maintain confidentiality of employee compensation, Social Security information, bank information, tax information, and other sensitive personnel data.
- Ensure payroll practices are administered consistently with within company policies and procedures.
- Maintain knowledge of applicable payroll laws, regulations, and company policies.
- Assist with internal and external payroll and benefit audits and respond to requests for payroll and benefit documentation.
- Maintain organized electronic and paper payroll files in accordance with company requirements.
- Provide backup support for other HR, Finance and administrative functions as assigned.
- Monitor timekeeping, system issues and coordinate corrections.
- Provides training and instruction to new HR personnel and system users.
- Perform other related duties as assigned.

- Ability to work additional hours or adjust the work schedule when necessary to meet payroll deadlines or business needs.
Qualifications - Preferred
- Previous payroll HR accounting, finance or related administrative experience is preferred.
- Experience with payroll or timekeeping systems.
- Experience in a manufacturing or multi shift work environment preferred.
- Experience with Paycom payroll systems.
