Position Overview

The Payroll Administrator is responsible for ensuring accurate and timely processing of employee payroll, maintaining payroll records, and assisting in related administrative tasks. This role includes some benefits administration, including enrollment processing, monthly billing reconciliation, responding to employee and carrier queries, and resolving issues and discrepancies. This role requires a strong understanding of payroll processes, excellent numerical skills, and a high level of integrity and confidentiality.

Essential Job Duties

  • Process payroll accurately and on time, in compliance with company policies and relevant laws and regulations.
  • Collect and review timesheets, attendance records, and other relevant documents to calculate and verify employee work hours, overtime, deductions, and any other payroll adjustments.
  • Calculate wages, overtime, bonuses, and deductions, ensuring compliance with federal, state, and local regulations.
  • Processes garnishments, child support orders, and other payroll-related transactions to ensure accurate record-keeping and proper deductions.
  • Addresses payroll discrepancies, errors, or questions, resolving them efficiently and timely.
  • Audits time and attendance system for integrity as needed.
  • Ensure accurate calculation and processing of employee benefits, including but not limited to vacation time, sick leave, and insurance premiums.
  • Prepare and distribute paychecks or electronic transfers to employees, ensuring confidentiality and accuracy of information.
  • Partners with Finance to assist with data preparation for payroll journal entries.
  • Prepares bi-weekly status reports.
  • Participates in month/quarter/year-end duties related to Payroll functions.
  • Serves as a resource in audit processes such as 401k, workers compensation, and as required.
  • Address employee inquiries and resolve any payroll-related issues or discrepancies in a timely and professional manner.
  • Maintain and update employee payroll records, including changes in salary, tax status, benefits, and deductions.
  • Generate reports for accounting and finance teams to assist with budgeting and financial analysis.
  • Stay up-to-date with changes in payroll regulations, tax laws, and other relevant policies to ensure compliance and accurate payroll processing.
  • Identify areas for process improvement and efficiency in payroll administration.
  • Implement best practices to streamline payroll processes.
  • Performs other duties, including special projects and tasks as assigned by management.

Requirements

  • 5+ years of payroll processing experience for a multi-state employer.
  • Associates Degree preferably in Accounting or Business required; Bachelor’s Degree in related fields of study preferred.
  • Proficiency working with ADP Workforce now required.
  • Knowledge of payroll best practices is required, CPP is a plus

Competencies

  • Proficient in using payroll software and computer systems, with advanced knowledge of spreadsheets (e.g., Microsoft Excel) and other relevant software.
  • Strong mathematical and numerical skills, with keen attention to detail and accuracy.
  • Excellent organizational and time management abilities, capable of handling multiple tasks and meeting deadlines.
  • Strong verbal and written communication skills, with the ability to explain complex payroll concepts clearly and professionally.
  • Discretion and integrity when dealing with sensitive and confidential information.
  • Knowledge of relevant laws and regulations governing payroll, including tax withholding, employment benefits, and record-keeping requirements.
  • Ability to work both independently and collaboratively as part of a team.
  • Strong problem-solving and analytical skills, with a proactive approach to resolving issues.
  • Prioritize customer service and maintain a positive attitude when dealing with employees and colleagues.

This is largely a sedentary role; however, the duties require the use of the hands to type and the ability to communicate, requires the ability to move about, some duties may occasionally require the ability to lift to 10lbs.
