You will greet patients, schedule appointments, and handle communications between patients and providers with strict HIPAA adherence.

Qualifications

• High school diploma or equivalent required.
• Prior experience in a medical or healthcare office setting preferred.
• Knowledge of medical terminology and standard office procedures.
• Proficiency with EHR systems, scheduling software, and Microsoft Office applications.
• Strong interpersonal, verbal, and written communication skills.
• Ability to work independently while maintaining a collaborative team approach.
• Excellent attention to detail and ability to manage multiple priorities effectively.

Responsibilities

• Greet and assist patients and visitors in a professional, courteous manner.
• Answer incoming calls, screen inquiries, take messages, and provide accurate information.
• Schedule, confirm, and adjust patient appointments per clinic protocol.
• Communicate with patients regarding scheduling, insurance, and office procedures.
• Collect co-pays, deductibles, or outstanding balances per policy.
• Obtain and update patient demographics and insurance information.
• Transmit patient records in compliance with HIPAA; manage EHRs.
• Prepare correspondence, forms, and other documentation as required.
• Coordinate with referring offices and external partners for continuity of care.
• Post payments and reconcile funds daily.
• Assist with ordering supplies and support patient flow and admin tasks.
• Maintain organized filing systems and timely record retention.
• Ensure care and maintenance of office equipment and report issues promptly.
• Adhere to HIPAA, OSHA, and confidentiality standards; uphold professionalism.
