Qualifications

• 2+ years of experience in medical scheduling, patient coordination, or a customer-facing healthcare operations role
• Proficient in CRM systems (Salesforce, HubSpot) and standard office software
• Associate degree preferred; HS diploma or GED considered

Responsibilities

• Schedule new patient consultations and follow-ups across provider calendars
• Process appointment requests via phone, email, portal, and referrals within SLAs
• Document appointment details, patient preferences, and instructions in Salesforce/EMR with accuracy
• Monitor queues for no-shows and cancellations; take corrective action
• Conduct outbound outreach to recover missed or cancelled appointments
• Escalate repeated no-shows to care coordination
• Send proactive reminders at 48- and 24-hour intervals; confirm readiness
• Identify barriers to attendance and resolve scheduling issues
• Maintain HIPAA-compliant communications and records
• Track scheduling metrics and surface insights to operations
