Job summary

Northwest Health is seeking a Scheduling Specialist to help manage appointments for patients and providers within our hospital network. You will coordinate clinics, tests, and procedures across departments to ensure efficient use of resources and high-quality patient care.

You will work closely with medical staff to align schedules, enter accurate patient data into EHR systems, and notify patients of changes. Excellent communication and multitasking are essential in this fast-paced setting.

Qualifications

• Associate Degree or certification in Healthcare Administration or related field preferred.
• 0-2 years of experience in medical scheduling or front desk work preferred.
• Experience with EMR systems and scheduling software preferred.

Responsibilities

• Schedules patient appointments for consultations, tests, procedures, and follow-ups.
• Notifies patients of confirmations, cancellations, or reschedules.
• Enters and updates patient data in the scheduling system or EHR.
• Collaborates with medical staff to align with clinical priorities.
• Monitors cancellations and no-shows and reschedules as needed.
• Provides general admin support: calls, referrals, and file coordination.
• Receives orders from the Order Facilitator and verifies completeness.
• Asks patients required questions for tests and prep instructions.
• Prioritizes work and processes STAT orders timely.
• Notifies offices if scheduling conflicts arise.
• Offers alternative scheduling options to fit needs.
• Communicates with physicians, nurses and staff for proper scheduling.
• Performs other duties and maintains reliable attendance.
