Qualifications

• High school diploma or equivalent required; additional education in healthcare administration or a related field is a plus.
• Previous experience in a customer service, administrative, or healthcare support role preferred.
• Strong communication and interpersonal skills with a patient-centered approach.
• Excellent organizational skills and attention to detail.
• Ability to multitask, remain calm under pressure, and adapt to changing priorities.
• Proficiency with computers and the ability to learn scheduling and electronic record systems.
• Basic understanding of insurance verification, billing processes, or medical office procedures is helpful.
• Ability to maintain confidentiality and follow established policies and procedures.

Responsibilities

• Greet patients and visitors in a professional, courteous, and welcoming manner.
• Assist with check-in and check-out processes, including verifying demographic and insurance information.
• Schedule, reschedule, and confirm patient appointments based on office protocols and availability.
• Answer incoming calls, respond to inquiries, and route messages appropriately.
• Collect copayments, balances, and other required patient payments in accordance with established procedures.
• Maintain accurate patient records and support documentation requirements.
• Provide clear communication regarding office policies, forms, and patient instructions.
• Coordinate with clinical and administrative team members to support efficient patient flow.
• Handle sensitive information with discretion and comply with privacy and confidentiality requirements.
• Resolve routine patient concerns with professionalism and upscale issues when needed.
