Job summary

AEG Vision seeks a Patient Care Coordinator to manage front desk operations and support patient flow within our Centerville clinic. You will coordinate appointments, verify insurance, and maintain EMR records to ensure a smooth, high-quality patient experience.

Responsibilities include greeting patients, handling inquiries, scheduling, reminders, and collaboration with clinical and optical teams to ensure seamless visits and follow-up care.

Qualifications

• High school diploma or equivalent.
• Basic computer literacy and ability to learn EMR.
• Strong organizational skills and attention to detail.
• Strong communication and interpersonal skills with patient-centred service.
• Ability to proactively identify issues and contribute to solutions.
• Maitain patient and practice confidentiality.

Responsibilities

• Greet patients and serve as the primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage emails professionally.
• Schedule appointments and optimize provider schedules, including cancellations/reschedules.
• Send appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and enter patient data in EMR accurately.
• Explain insurance coverage and patient financial responsibility.
• Prepare patient charts and documentation ahead of visits.
• Process charges, co-pays, and payments in EMR; reconcile balances.
• Run reports to ensure charges are billed and up-to-date.
• Monitor patient flow and adjust schedules to reduce bottlenecks.
• Communicate wait times and next steps to patients.
• Coordinate with clinical and optical teams for smooth transitions.
• Support retention through follow-up, recall, and reactivation efforts.
• Maintain an organized, clean front desk environment.
• Performs other duties as assigned by Practice Manager/Optometrist.
