Job summary

AEG Vision is seeking a Patient Care Coordinator to manage front desk operations and support patient flow, scheduling, and care team coordination. You will proactively communicate with patients, verify insurance, and maintain EMR data to ensure a high-quality experience for every patient.

The role emphasizes patient-centered service, teamwork across clinical and optical staff, and ongoing process improvement in a fast-paced environment. On-site work and full-time benefits are provided.

Qualifications

• High school diploma or equivalent required.
• Basic computer literacy and ability to learn practice management systems (EMR).
• Strong organizational skills with attention to detail and ability to manage multiple priorities.
• Strong communication skills (verbal and written) with a focus on patient-centered service.
• Strong interpersonal skills and ability to work collaboratively across teams.
• Ability to proactively identify issues and contribute to solutions in a fast-paced environment.

Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner and serve as the primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage email or digital communications professionally.
• Schedule patient appointments and support provider schedule optimization, including cancellations and same-day fills.
• Execute appointment confirmations and reminders to reduce no-show rates.
• Verify insurance eligibility and patient demographics in EMR and maintain information accurately.
• Communicate coverage and patient financial responsibilities clearly to patients.
• Prepare patient charts and documentation ahead of visits for efficient flow.
• Enter charges, co-pays, and payments in EMR and monitor balances for claim submission.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and provider schedules; adjust as needed to optimize care delivery.
• Communicate wait times and next steps to maintain a positive patient experience.
• Coordinate with clinical and optical teams to ensure smooth transitions during visits.
• Support patient retention through follow-up and recall for annual/needed appointments.
• Maintain an organized, clean front-office environment.
