Qualifications

• High school diploma or equivalent is required.
• Strong organizational skills and ability to manage multiple priorities.
• Excellent verbal and written communication with patient-centered service.
• Collaborative work across teams and ability to maintain confidentiality.
• Proactive in learning practice management systems (EMR).

Responsibilities

• Greet patients, customers, and vendors professionally; act as primary contact.
• Answer calls, respond to inquiries, and manage emails promptly.
• Schedule patient appointments and optimize provider schedules.
• Send appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and enter patient data in EMR accurately.
• Explain coverage, benefits, and patient financial responsibility.
• Prepare patient charts and documentation for visits.
• Document charges, co-pays, and payments in EMR; balance accounts.
• Run reports to ensure charges are billed and up to date.
• Monitor patient flow and adjust schedules to avoid bottlenecks.
• Communicate wait times and next steps to patients.
• Coordinate with clinical/optical teams for smooth transitions.
• Support recall/retention outreach for appointments.
• Maintain a clean, organized front office.
• Perform other duties as assigned by Practice Manager/Optometrist.
