Illinois CancerCare is seeking a full-time Patient Intake Coordinator to join our New Patient Scheduling team in Peoria. This role supports a welcoming patient experience by coordinating initial appointments and essential intake details.

You will handle high call volumes, verify demographic and insurance information, and communicate appointment logistics. The position emphasizes HIPAA compliance and accurate data entry in our EMR and referral systems.

Qualifications

• High School Diploma or GED required.
• Two years call center-related experience in healthcare preferred.
• Experience with Microsoft Office (Outlook, Word, Teams, Excel) required.
• Knowledge of medical terminology, insurance processes, and HIPAA compliance.
• Strong communication and active listening with empathy.
• Ability to handle high call volumes while maintaining quality service.
• Must complete onboarding courses within 45 days of starting.
• Experience with EMR and referral management systems.
• Excellent listening and professional telephone etiquette.

Responsibilities

• Serve as the first point of contact for new patients, delivering exceptional customer service.
• Manage high volumes of inbound and outbound calls with professionalism and empathy.
• Collect and verify patient demographic, insurance, referral, and pre-visit information.
• Clearly communicate appointment logistics, including time and location.
• Document all call interactions in the applicable system in real time.
• Resolve patient inquiries and complaints promptly with escalation as needed.
• Meet or exceed KPIs such as average handling time and first-call resolution.
• Collaborate with clinical and administrative teams to ensure scheduling accuracy.
• Maintain up-to-date patient records with HIPAA compliance.
• Escalate complex issues to the appropriate department or supervisor.
• Support additional administrative tasks to improve call center efficiency.
