Job summary

Illinois CancerCare in Peoria, IL is seeking a full-time Patient Intake Coordinator to support the New Patient Scheduling team. This role offers a Monday–Friday schedule with no weekends or major holidays, providing strong work-life balance.

You will greet new patients, gather demographics and insurance details, and coordinate initial appointments while communicating logistics to providers and staff to ensure seamless care from day one.

Qualifications

• High School Diploma or GED required.
• Two years of call center-related, referral management and/or patient access experience in healthcare preferred with progressive responsibility or equivalent.
• Experience with Microsoft Office Products (Outlook, Word, Teams, and Excel) required.
• Knowledge of medical terminology, insurance processes, and HIPAA compliance.
• Strong communication and active listening skills, with empathy and patience.
• Ability to handle high call volumes while maintaining quality service.
• Must complete onboarding courses and training within 45 days.
• Experience with Electronic Medical Record (EMR) and practice management systems.
• Excellent listening, interpersonal, and communication skills; professional telephone etiquette.

Responsibilities

• Serve as the first point of contact for new patients, delivering exceptional service and a welcoming experience across channels.
• Manage high volumes of inbound and outbound calls with professionalism and empathy.
• Collect and verify patient demographics, insurance, referral, and pre-visit information with accuracy.
• Clearly communicate appointment logistics (time, location, directions, prep) to patients.
• Document call interactions in the applicable system in real time.
• Resolve patient inquiries and complaints; escalate when necessary.
• Meet or exceed KPIs like call handling time, first-call resolution, and patient satisfaction.
• Collaborate with clinical/administrative teams for scheduling accuracy.
• Maintain up-to-date patient records ensuring HIPAA compliance.
• Escalate complex issues to the appropriate department.
• Uphold policies and regulatory adherence; support additional administrative tasks.
