Job summary

American Oncology Network is seeking a Patient Services Specialist to provide front-end patient support, including intake, scheduling, medical records, and payments. The role emphasizes accurate documentation and exceptional customer service in a multi-site cancer care setting.

You will greet patients, verify identities, update records in the EMR, manage appointments, coordinate with physicians, and ensure smooth financial transactions.

Qualifications

• Education: High School Diploma; Associates degree preferred.
• Minimum of one (1) year experience in a healthcare setting; physician office experience preferred.
• Demonstrated customer service focus with strong attention to detail and multitasking ability.

Responsibilities

• KPA 1 - Patient Intake, Registration & Customer Experience: Greet patients and caregivers professionally; verify identity; document arrival status; maintain demographic information; collect payments; ensure forms and medical history are complete; respond to calls.
• KPA 2 - Scheduling, Physician Support & Communication: Schedule appointments; manage physician schedules; coordinate schedule changes; assign new patients to clinicians; contact patients about missed appointments; relay hospital consults and messages.
• KPA 3 - Medical Records & Documentation Management: Create and maintain charts; obtain missing documentation; process faxes and mail; respond to record requests; maintain EMR and document management systems.
• KPA 4 - Financial Transactions & Daily Reconciliation: Collect and post payments; prepare deposits; balance cash drawers; notify counselors of insurance changes; distribute reports.
• KPA 5 - Compliance, Team Support & Operational Flexibility: Compliance with regulations; cross-location coverage; training and onboarding; safeguard confidentiality; multi-site operations.
