Job summary

Under supervision, you will manage a high volume of calls, schedule, reschedule, and coordinate visits while upholding HIPAA and customer service standards.

You will verify demographics, assist with patient portal use, and collaborate with multiple departments to ensure smooth patient flow and timely care.

Qualifications

• High school diploma or equivalent.
• Minimum of one year of experience in an office setting, preferably medical.
• Bilingual in English and Spanish preferred.
• Strong customer service skills and professional telephone etiquette.
• Excellent verbal, written, interpersonal, and communication skills.
• Strong attention to detail and accuracy.
• Ability to multitask in a fast-paced environment.
• Basic knowledge of medical terminology and EHR systems.
• Basic computer skills and comfort with telephone systems.
• Ability to work independently and in a team.
• Ability to interact with diverse backgrounds.
• Typing speed of 40 wpm preferred.

Responsibilities

• Manage a high volume of incoming calls, scheduling, rescheduling, and canceling appointments.
• Return patient callbacks from the scheduling system.
• Communicate appointment information courteously and accurately.
• Assess patient needs and route inquiries to the appropriate team.
• Manage call flow using the TouchPoint desktop application and multiple queues.
• Route calls to the correct health center or department.
• Provide SBAR summaries for urgent calls to the site or leadership.
• Document calls and follow-up actions.
• Collaborate with departments to resolve scheduling conflicts.
• Verify and update patient demographics and insurance information.
• Assist patients with questions, concerns, and portal use.
• Support referrals and patient portal access as needed.
• Maintain patient data files and HIPAA compliance.
