  • Coordinate outside diagnostic testing and obtain insurance authorizations when required.
  • Assist with pre-authorization and ongoing authorization requirements.
  • Verify insurance coverage to support accurate billing.
  • Manage incoming faxes and documents, including referrals and records.
  • Scan and maintain documentation in the EHR.
  • Communicate with clinical staff to maintain efficient provider schedules.
  • Review and reconcile daily charges for billing accuracy.
  • Maintain a welcoming, organized waiting area.

Job DetailsJob Location: Portland, ME - Portland, ME 04102Salary Range: $20.00 - $24.00 HourlyAre you organized, personable, and passionate about creating a positive patient experience? Orthopaedic Associates of Maine is looking for a Patient Access Coordinator to join our team.

As a Patient Access Coordinator, you’ll be one of the first and last people our patients interact with during their visit. This role combines customer service, scheduling, registration, insurance verification, payment collection, and administrative support to help keep our practice running smoothly.

What You’ll Do
  • Welcome patients and visitors in a professional, friendly, and caring manner.
  • Manage the patient check-in and check-out process.
  • Verify and update patient demographics, insurance information, and other registration details.
  • Collect copays and outstanding balances and complete daily payment reconciliation.
  • Answer incoming calls and assist patients with scheduling and general questions.
  • Schedule patient appointments according to clinical protocols.
  • Enter and process referrals received by phone, fax, or email.
  • Coordinate outside diagnostic testing and obtain insurance authorization when required.
  • Assist with pre-authorization and ongoing authorization requirements for patient visits.
  • Verify insurance coverage to support accurate billing.
  • Manage incoming faxes and documents, including referrals, disability forms, and medical record requests.
  • Scan and maintain documentation within the electronic health record.
  • Communicate closely with clinical staff to help maintain efficient provider schedules.
  • Review and reconcile daily charges to ensure accurate and complete billing information.
  • Help maintain a welcoming, organized, and safe waiting area for our patients and visitors.
Qualifications

You should be comfortable working with computers, communicating with patients and coworkers, and staying organized in a busy medical office.

Additional Qualifications:

  • High School degree or equivalent
  • Experience in a medical office or similar role in health care organization/ environment helpful
  • Strong customer service skills
  • Ability to work independently and as part of a team
  • Excellent communication and interpersonal skills, with the ability to interact with all internal and external customers in a professional and caring manner
  • Proficient computer skills including Microsoft Office
  • Knowledge of medical records helpful
  • Ability to complete work in a timely, accurate and thorough manner
  • Ability to maintain confidentiality
