Job summary

Aqua Aston Hospitality (AAH) is seeking an Owner Services Representative in Hawaii. You will recruit new owners, manage owner relations, and coordinate maintenance with vendors to keep units in top condition. You’ll also assist with administrative duties and field surveys from owners and guests.

Daily tasks include balancing tasks, supervising hourly staff, and ensuring accurate recording of charges and reports. This is an on-site role with growth opportunities in a supportive team environment.

Qualifications

• High school diploma or equivalent.
• Some college experience preferred.

Responsibilities

• Recruit new owners by building and nurturing relationships with realtors and potential owners.
• Track, respond, and resolve unit issues from owner and guest surveys and reviews.
• Act as a liaison between unit owners and vendors for repairs; supervise maintenance; prepare work orders.
• Perform regular checks of rental units to ensure standards and OSHA compliance.
• Acquire and maintain rental contracts; present new clients; ensure start-up costs are billed correctly.
• Submit work orders and charges to Accounting; prepare annual rental reports.
• During MOD shifts, supervise staff on duty and assist front desk for coverage.
• Perform other duties as assigned.

As an Owner Services Representative, will have extensive interaction and communication with current and potential owners as well as realtors with the main objective of retaining and recruiting new owners to the rental program. Primary “go to” person for owners to facilitate everything from basic repairs, AC maintenance or renovations. Daily interaction with management team, and direct supervision of hourly staff with Manager on Duty (MOD) - expect the MOD shift to be 1-2 days per week. Assist GM with overall administrative duties to include balancing bar banks, drops and daily accounting sheets as well as supervise any discrepancies.

As an Owner Services Representative a typical day will include:

• Recruit new owners by building and nurturing relationships with realtors and potential owners.
• Track, respond, and resolve unit issues brought to our attention through owner and guest surveys and reviews.
• Act as a liaison between unit owners and vendors for repair/upgrading of units. Direct and supervise maintenance work. Prepare work orders for maintenance repairs and submit to accounting after work is completed.
• Perform regular checks of rental units to ensure units are maintained as per AHR and AAA standards as well as following OSHA regulations.
• Acquire and maintain rental management contracts for all participating rental units. Give detailed presentations to new clients joining the rental program. Ensure new units are correctly billed for any start‑up costs. Assist in monitoring unit “Refresh” project as well as maintaining rental units, providing information and comparable as necessary.
• Submit required work orders, telephone changes and other miscellaneous charges and credit to Accounting for processing. Prepare annual rental report for unit owners as well as quarterly Condoletter.
• As part of the management team will be assigned shifts as Manager on Duty (MOD). During Manager on Duty shifts, will have supervision of staff on duty during shift. Expect to have 1-2 MOD shifts per week. Train and assist front desk for needed coverage.
• Perform other duties as assigned.

To Become an Owner Services Representative at AAH:

• High school diploma or equivalent. Must communicate in the English language (written and oral) to the understanding of customers, guests, and co-workers. Some college preferred. Condominium/resort background preferred.
• Previous vacation rental and guest services experience preferred. Sales experience desirable.
