Job summary

Orthodontic Experts Management LLC is seeking a Treatment Coordinator to support patients in their orthodontic journey. You will communicate treatment plans, address concerns, and help families understand scheduling and financing options.

Responsibilities include consultations, billing, and education on orthodontic benefits, while maintaining patient records and coordinating interactions across clinics.

Qualifications

• High school degree or GED equivalent.
• 3 years of customer service experience.
• 2 years of sales experience.
• 1 year of Treatment Coordinating experience.
• Knowledge of medical terms and practices.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
• Excellent problem solving and de-escalation skills.
• Excellent written and verbal communication skills.

Responsibilities

• Consult with patients to understand their oral health history, concerns, and objectives.
• Explain the treatment plan, address patient concerns, and answer any questions.
• Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
• Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
• Manage and maintain the payment options and policies for patients.
• Understand the practice’s policy on working with Ortho benefit plans and educate patients on their dental benefits.
• Educate patients on available outside financing options.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in Practice’s collections protocol for all outstanding balances.
• Introduce new patients to the practice by going over health history and doctor’s examination.
• Conduct treatment consultations with all new patients and existing patients when new treatment plans are presented.
• Update TC Spreadsheet daily.
• Dial outbound calls to patients (Welcome calls, Lost Cases, Denials).
• Greet and check patients in and out before and after treatment.
• Participate in Marketing events.
• Answer incoming calls (new patient, emergencies, scheduling, records requests, follow up).
• Travel to other clinics and perform all duties including administrative tasks.
• Maintain a clean/sanitized clinic/office area.
• Cash handling
