Job summary

Orthodontic Experts Ltd. is seeking a Treatment Coordinator to support patients through their orthodontic journey. You will communicate treatment plans, address questions, and help set up scheduling and payment arrangements.

Responsibilities include financial consultations, coordinating with insurance and financing, managing accounts receivable, and assisting in all clinics as needed. The role requires strong communication, problem solving, and proficiency with Microsoft Office.

Qualifications

• 3 years of customer service experience
• 2 years of sales experience
• 1 year of Treatment Coordinating experience
• Knowledge of medical terms and practices
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access)
• Excellent problem solving and de-escalation skills
• Excellent written and verbal communication skills

Responsibilities

• Consult with patients to understand their oral health history, concerns, and objectives.
• Explain the treatment plan, address patient concerns, and answer any questions.
• Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
• Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
• Manage and maintain the payment options and policies for patients.
• Understand the practice’s policy on working with Ortho benefit plans and educate patients on their dental benefits.
• Communicate with outside and third-party financing companies and educate patients on financing options.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in Practice’s collections protocol for all outstanding balances.
• Introduce new patients to the practice and explain health history and doctor’s examination.
• Conduct treatment consultations with all new patients and existing patients when new plans are presented.
• Updating TC Spreadsheet on a daily basis.
• Dialing outbound calls to patients (Welcome calls, Lost Cases, Denials).
• Greet and check patients in and out before and after treatment.
• Participate in Marketing events and answer incoming calls (new patients, emergencies, scheduling, records).
• Travel to other clinics and perform all duties including administrative tasks.
• Maintain a clean/sanitized clinic/office area.
• Cash handling and other assigned tasks.
