Qualifications

• High school diploma or equivalent required; an associate degree or higher is preferred.
• Experience in a dental/orthodontic office in a patient coordination or administrative role.
• Knowledge of orthodontic terminology, treatment processes, and insurance procedures preferred.
• Proficiency with electronic health record (EHR) systems or ability to learn.
• Excellent communication and interpersonal skills with patients of all ages.

Responsibilities

• Greet and welcome patients, providing a warm and professional first impression of the practice.
• Schedule and confirm patient appointments, optimizing resource use and minimizing wait times.
• Explain treatment plans, financial options, and insurance coverage to patients and families.
• Maintain accurate and up-to-date patient records, including treatment progress and billing history.
• Coordinate communication between patients and clinical staff to address questions and follow-up care.
• Assist with insurance claims processing and verify patient benefits for timely reimbursements.
• Manage patient billing, collect payments, and set up payment plans as needed.
• Support marketing and referral initiatives by providing information and scheduling consultations.
• Ensure HIPAA compliance and protect patient privacy and data security.
