Job summary

APPLIED MOLECULES LLC in Whitmore Lake, MI is seeking an Order Processing, Shipping & Bookkeeping Specialist who will handle customer orders, coordinate shipments, and manage QuickBooks-based accounting. You will enter orders, verify pricing, arrange carrier pickups, prepare packing slips, and track shipments while maintaining clean records.

Qualifications

• Hands-on experience with QuickBooks (required).
• 2+ years of bookkeeping or accounting experience.
• Experience with order processing and arranging shipments (UPS, FedEx, LTL, etc.).
• Strong organizational skills and attention to detail.
• Clear, professional communication by phone and email.
• Associate’s degree in accounting or related field is a plus, but not required.

Responsibilities

• Receive and enter customer orders by phone, email, and online.
• Confirm pricing, quantities, and product details.
• Arrange shipping by obtaining freight quotes, selecting carriers, and scheduling pickups.
• Prepare shipping documents such as packing slips and bills of lading.
• Track shipments and keep customers updated on order status.
• Maintain accurate order, shipping, and customer records.
• Manage accounts payable and accounts receivable in QuickBooks.
• Create and send invoices; follow up on outstanding balances.
• Record transactions and reconcile bank and credit card accounts.
• Assist with month-end close and prepare basic financial reports.
• Support payroll processing and coordinate with our outside accountant as needed.
