Job summary

medmix is seeking an Operations Administrator to provide high level administrative support to the Management team and other leadership staff. You will answer inquiries for the public, customers, and visitors, and coordinate multiple functions and special projects.

The role requires 5+ years in a related support role with strong logistics experience, ISF review, and liaison with freight forwarders and customs brokers.

Qualifications

• 5+ years of experience in related support role.
• Experience managing shipments from origin.
• Review and monitor Importer Security Filings (ISF).
• Verify shipment pricing and ensure accuracy.
• Update shipment timelines and receiving schedules.
• Coordinate inbound containers for warehouse delivery.
• Maintain Air Freight Log records.
• Serve as liaison between freight forwarders and customs brokers.
• Monitor shipment status and address clearance issues.
• Communicate shipment updates to stakeholders.
• Coordinate delivery appointments and receipts.
• Investigate shortages, discrepancies, damages.
• Ensure documentation before deliveries arrive.
• Ability to read, write, and follow instructions and procedures
• Ability to initiate and implement work procedures
• Ability to work with personnel at all levels
• Strong written communication for emails
• Proficiency in MS Office

Responsibilities
