Job summary

LuvMyJewelry is seeking a detail-oriented Operations Coordinator for its NYC office. This hands-on role supports inventory, orders, and customer experiences, ensuring accuracy from packaging to delivery.

You will work with Excel, maintain records across systems, and help improve day-to-day workflows as the company grows. This is a full-time, in-person position offering hands-on learning in a growing jewelry brand.

Qualifications

• Strong attention to detail and accuracy.
• Very comfortable with Microsoft Excel, including data sorting and filtering.
• Able to learn new inventory, shipping, and order-management systems.
• Organized and able to manage several tasks and priorities.
• Clear, polished written communication skills.

Responsibilities

• Prepare, pack, and ship direct-to-consumer orders accurately and on time.
• Create shipping labels and maintain shipment records.
• Monitor outgoing orders and resolve shipping or delivery issues.
• Tag and organize new merchandise and update inventory records across internal systems.
• Provide general operational and administrative support as the business grows.
• Respond to customer questions in a timely, thoughtful, and professional manner.

Schedule: Full-time; 9:30 AM to 6:00 PM ET

Location: In-person @ our NYC office

**Company Description**

LuvMyJewelry is a family-owned fine jewelry brand rooted in craftsmanship, quality, and timeless design. We’re looking for a detail-oriented Operations Coordinator to support the day-to-day work that keeps our inventory organized, our orders moving, and our customers happy.

This is a hands-on role suited to someone at the beginning of their operations career. We’re also open to applicants with more experience who enjoy working closely with a growing brand and taking ownership of essential processes.

• Prepare, pack, and ship direct-to-consumer orders accurately and on time
• Create shipping labels and maintain organized shipment records
• Monitor outgoing orders and help resolve shipping or delivery issues
• Ensure each order is packaged according to LuvMyJewelry’s quality standards

Inventory & Merchandise

• Tag and organize new merchandise
• Log new purchases and incoming inventory accurately
• Update product and inventory records across internal systems
• Help reconcile physical inventory against system records
• Maintain an organized and efficient merchandise workspace
• Assist with periodic inventory counts and identify discrepancies

Returns & Customer Support

• Receive, inspect, and process product returns and exchanges
• Respond to direct-to-consumer customer questions in a timely, thoughtful, and professional manner
• Help customers with order status, shipping, returns, exchanges, and general product questions
• Escalate unusual customer or order issues when needed
• Maintain accurate records of customer requests and resolutions

Operations Support

• Build and maintain Excel spreadsheets for inventory, purchasing, orders, and other operational needs
• Learn and confidently use the company’s inventory and order-management systems
• Identify opportunities to improve organization and day-to-day workflows
• Provide general operational and administrative support as the business grows

• Very comfortable working in Microsoft Excel, including organizing, sorting, filtering, and maintaining data
• Comfortable learning new inventory, shipping, and order-management systems
• Organized and able to manage several tasks and priorities at once
• Clear, polished written communication skills
• Patient and helpful when working with customers
• Dependable, proactive, and comfortable taking ownership of recurring tasks
• Able to handle fine jewelry carefully and responsibly
• Previous experience in retail, e-commerce, operations, fulfillment, inventory, or customer service is helpful but not required
