What You’ll Do
Kirkland & Ellis is seeking an Operations Assistant to support the delivery of responsive, high-quality operations to support the Houston office.From managing mail and workplace services to delivering high-quality print and digital imaging support, you'll help create a safe, efficient, and productive environment for employees and clients. This role is ideal for someone who is highly organized, customer-focused, and comfortable balancing multiple priorities while maintaining exceptional attention to detail.
- Deliver Outstanding Service: Respond promptly to requests, questions, and concerns while providing a high level of customer support and follow-through.
- Coordinate Office Operations: Support daily workplace activities, including office moves, workstation and conference room setups, equipment deliveries, and new hire onboarding preparations.
- Manage Mail & Courier Services: Process, sort, distribute, and deliver incoming and outgoing mail, packages, courier shipments, and overnight deliveries in accordance with established procedures.
- Support Shipping & Logistics: Prepare and meter mail and packages while coordinating shipments through postal and courier services.
- Maintain Workplace Readiness: Monitor office supply inventory, fulfill supply requests, and keep supply rooms, copy areas, and common workspaces organized and fully stocked.
- Collaborate Across Teams: Partner with colleagues, vendors, and internal stakeholders to ensure service requests are completed accurately and on time.
- Perform Digital Imaging & Scanning: Complete high-volume scanning, imaging, document conversion, and file preparation projects using production equipment and multifunction devices.
- Manage Electronic Documents: Create, convert, organize, retrieve, and distribute digital files, including searchable PDFs, Tagged Image File Format (TIFF) files, and other document formats using Optical Character Recognition (OCR) and document management systems.
- Produce High-Quality Print Projects: Process files from multiple sources, manage print queues, and ensure documents are produced with accurate formatting, alignment, and output quality.
- Complete Finishing Services: Bind, cut, drill, fold, assemble, and prepare finished documents to meet customer specifications.
- Ensure Quality & Accuracy: Conduct quality control reviews throughout production to verify file integrity, image quality, formatting, and overall project accuracy.
- Troubleshoot & Maintain Equipment: Resolve production and equipment issues, maintain printers and scanners, and help ensure efficient, cost-effective operations.
- Drive Continuous Support: Demonstrate flexibility, initiative, and a willingness to take on additional responsibilities as business needs evolve.
What You’ll Bring
- Education & Training: High school diploma or equivalent required; additional training or certifications related to office services, document production, or business operations are a plus.
- Relevant Experience: Experience supporting mail services, print production, facilities, workplace services, or office operations, preferably within a law firm or professional services environment.
- Technical Proficiency: Experience working in a networked print production environment and proficiency with Microsoft Office Suite, Adobe applications, scanning platforms, and multifunction print devices. Experience with Canon multifunction devices is preferred.
- Document Management Expertise: Knowledge of document imaging, file conversion, Optical Character Recognition (OCR), electronic records management, and production workflows.
- Customer Service Excellence: Strong interpersonal skills with the ability to build positive relationships and provide responsive, solutions-focused support.
- Organization & Multitasking: Proven ability to manage competing priorities, maintain attention to detail, and consistently meet deadlines in a fast-paced environment.
- Communication Skills: Strong written and verbal communication skills with the ability to clearly communicate project updates and service information.
- Problem-Solving Ability: Resourceful and proactive in identifying solutions, troubleshooting issues, and maintaining operational efficiency.
- Adaptability & Teamwork: Self-motivated, dependable, and able to work effectively both independently and collaboratively.
- Physical Capability: Ability to lift, carry, push, or move materials up to 50 pounds and remain active throughout the workday, including extended periods of standing and walking.
