Job summary

Kirkland & Ellis is seeking an Operations Assistant for the New York office to support facilities, mail handling, and day‑to‑day administrative logistics. This is a fully onsite role reporting to the Operations Manager, with a 35‑hour week and a Saturday start.

Responsibilities include coordinating mail, keeping spaces stocked, setting up rooms, and assisting vendors while ensuring safety and efficiency. Strong communication and organization are essential.

Qualifications

  • High school diploma required; associate/technical degree preferred.
  • 3+ years in a high-volume mailroom, facilities, or operations role.
  • Strong time management, attention to detail and discretion; able to prioritize.
  • Clear written and verbal communication; professional approach with staff and vendors.
  • Proactive, collaborative, and service-minded in a fast-paced environment.
  • Proficiency with copiers, scanners, postage machines and MS Office.
  • Physically able to stand, walk, and lift up to 50 pounds.

What You’ll Do

Are you a hands‑on operations professional who takes pride in creating a seamless, well‑organized workplace?

As an Operations Assistant, you will help keep the New York office running smoothly by supporting attorneys and staff with facilities services, mail and package coordination, office supplies, workspace readiness, and day‑to‑day administrative logistics. Reporting to the Operations Manager, you will work closely with colleagues, building management, and external vendors to maintain a safe, efficient, and welcoming professional environment. This is a fully onsite, non‑exempt position located at 601 Lexington Ave in New York, with a standard schedule of 35 hours per week.

Shift: Saturday‑Wednesday, 7am-3pm

  • Coordinate mail and deliveries: Receive, sort, distribute, process, and track incoming and outgoing mail, packages, certified mail, courier deliveries, FedEx, and UPS shipments accurately and promptly.
  • Maintain office readiness: Monitor inventory, replenish supplies, and keep practice floors, conference spaces, pantries, restrooms, and shared areas clean, organized, and fully stocked.
  • Prepare rooms and workspaces: Set up and break down conference rooms for meetings and events, and prepare functional, organized workstations for visitors, new hires, and office relocations.
  • Support facilities operations: Conduct routine office walk‑throughs, identify maintenance needs, troubleshoot issues, complete light repairs, and escalate concerns when appropriate.
  • Partner with vendors and building teams: Schedule, escort, and oversee onsite vendors while coordinating repairs, maintenance, and deliveries to support quality service and workplace standards.
  • Promote a safe workplace: Identify and report hazards, support emergency procedures, and follow applicable building and workplace compliance standards.
  • Manage furniture and fixtures: Assemble, disassemble, or relocate office furniture and fixtures based on operational needs.
  • Provide document support: Assist with copying, scanning, printing, and document distribution using standard office equipment and systems.
  • Maintain accurate records: Update inventory, work order, and office move logs while supporting departmental projects and process improvements.
  • Use resources responsibly: Help manage costs by minimizing waste and using supplies and equipment thoughtfully.
  • Adapt to evolving priorities: Take on special assignments and adjust responsibilities or work hours as departmental needs change, including occasional overtime.
What You’ll Bring
  • Education: A high school diploma is required; an associate degree or technical degree is preferred.
  • Experience: At least three years of experience in a high‑volume mailroom, facilities, or operations position, ideally within a professional services organization or law firm.
  • Organization and judgment: Strong time management, attention to detail, discretion, and the ability to prioritize multiple requests under tight deadlines.
  • Communication and collaboration: Clear written and verbal communication skills, a professional approach, and the ability to build productive relationships with attorneys, staff, internal teams, and vendors.
  • Service mindset: A proactive, collaborative approach and a commitment to delivering responsive support in a fast‑moving professional environment.
  • Technical capability: Proficiency with copiers, scanners, postage machines, printing and scanning processes, and basic Microsoft Office applications.
  • Problem‑solving skills: The ability to research solutions, overcome day‑to‑day obstacles, and identify opportunities to improve operational processes.
  • Physical capability: The ability to stand and walk for extended periods, operate a mail cart, move office items, and lift up to 50 pounds.

The base salary range below represents the low and high end of the salary range for this position in New York City.
