Job summary

The Rapid Group, via Rapid Pump & Meter Service Co., is seeking an Assistant Service Coordinator to support scheduling, dispatch, and coordination of service activities in a fast-paced environment.

You will collaborate with technicians, customers, and vendors, maintain records in service management systems, and help manage urgent assignments while ensuring smooth operations from the Paterson, NJ site.

Qualifications

• High school diploma or equivalent required; additional education is a plus.
• Experience in service coordination, dispatching, or administrative support preferred.
• Experience in pump/motor or HVAC industry strongly preferred.
• Basic knowledge of generators/load bank testing/service and plumbing preferred.
• Strong attention to detail and organizational skills.

Responsibilities

• Assist in scheduling inspections and routine service appointments
• Coordinate and dispatch technicians for emergency service calls
• Order and track materials required for service jobs
• Support review of technician time entries and daily service reports for accuracy and completeness
• Maintain accurate records within service management systems
• Communicate effectively with technicians, customers, vendors, and internal teams to ensure smooth operations
• Provide administrative support to the Regional Manager and service team
• Help prioritize and adjust schedules based on urgency and operational needs
