HM Alpha Hotels & Resorts is seeking a Conference Services Manager at the Westin La Paloma Resort and Spa in Tucson to oversee conferences, meetings, and group events. You will coordinate client service, planning, operations, and cross-department communication to drive revenue and repeat business.

The role requires 2+ years in convention services or event planning, plus a Bachelor’s in hospitality management or related field. Strong organization and client communication are essential.

Qualifications

• 2+ years of experience in convention services, catering, or event planning in a hotel or hospitality setting.
• Proven experience managing multiple events and client accounts simultaneously.
• Familiarity with event management software, hotel PMS, and Microsoft Office Suite.

Responsabilités

• Act as onsite contact for all assigned groups, and work with the customer to produce BEOs and Convention Resumes.
• Ensure all special arrangements (Food & Beverage, Audio Visual, and other requests) are documented on BEOs and signed.
• Distribute BEOs and Resumes to departments and follow up on questions.
• Maintain detailed files, notes, records, and trace systems to ensure events meet customer expectations.
• Verify space requirements and room setup with the client and ensure public spaces are maintained.
• Confirm revisions in agendas, room blocks, and notify departments in a timely manner.
• Finalize the program/agenda with client and check all scheduled functions one hour prior to start time.
• Review event sheets and coordinate with departments to ensure quality and satisfaction.
• Maintain positive guest and employee relations through prompt, precise, and courteous communication.
