Job summary

The Westin La Paloma Resort and Spa in Tucson seeks an Event Planning Manager to cultivate and manage catering accounts, including new and former clients, in order to meet targeted catering and room revenue goals. The role includes overseeing convention services to ensure exceptional customer satisfaction and long-term client relationships.

You will coordinate BEOs and resumes, document special arrangements, and ensure timely distribution and follow-up across departments.

Qualifications

• Bachelor's degree in business administration or sales and marketing preferred.
• Minimum 3 years banquet or meeting planner experience or equivalent combination of education and experience.

Responsibilities

• Act as onsite contact for all assigned groups and work with the customer to produce BEOs and Convention Resumes.
• Ensure all special arrangements (Food & Beverage, Audio Visual, and other requests) are documented on BEOs and signed by authorized representative.
• Distribute BEOs and Resumes to departments and follow up on questions.
• Maintain detailed files, notes, records, and trace systems to ensure events meet customer expectations.
• Verify space requirements and meeting room setup with the client; ensure public spaces are maintained.
• Confirm revisions in agendas and room blocks and notify departments in a timely manner.
• Finalize the program/agenda with the client and check all functions one hour prior to start time.
• Review event sheets with departments to ensure quality and satisfaction.
• Maintain positive guest and employee relations through prompt, precise, and courteous communication.
