Job summary

The Westin La Paloma Resort & Spa in Tucson, AZ is seeking an Event Planning Manager to cultivate and manage catering accounts, both new and former clients, to meet catering and room revenue goals as outlined in the hotel's Business Plan.

You will oversee convention services to ensure exceptional customer satisfaction, drive revenue growth, expand market share, and foster long-term client relationships for repeat business.

Qualifications

• Bachelor's degree in business administration or sales and marketing preferred.
• Minimum 3 years banquet or meeting planner experience or equivalent combination of education and experience.

Responsibilities

• Act as onsite contact for all assigned groups and coordinate BEOs and Convention Resumes.
• Ensure all special arrangements—Food and Beverage, Audio Visual, and other requests—are properly documented on BEOs and signed by authorized representative.
• Distribute BEOs and Resumes to appropriate departments in a timely manner and follow up on questions.
• Maintain detailed files, notes, and trace systems to ensure events meet client expectations.
• Verify space requirements and room setup with the client and ensure public spaces are maintained.
• Confirm revisions in agendas and room blocks and notify departments accordingly.
• Finalize program/agenda with client and check scheduled functions one hour before start time.
• Review event sheets and coordinate with departments to ensure quality and satisfaction.
• Maintain positive guest and employee relations through prompt, precise, and courteous communication.
