Job summary

Novus Anti-Aging Center in Studio City, CA, seeks a decisive Director of Operations to lead daily business operations across the practice. This hands-on role manages people, systems, and workflows while enabling the owner to focus on patient care and clinical leadership.

The ideal leader takes initiative, enforces policies, ensures patient privacy, and drives measurable improvements through staffing, budgeting, and vendor management.

Qualifications

• At least 5 years of progressive leadership in medical practice management, healthcare operations, medical aesthetics, concierge care, or related clinical setting.
• Proven experience supervising multidisciplinary teams and managing attendance, scheduling, payroll, employee performance, and workplace conflict.
• Experience with patient billing, operational financial reports, budgets, SOPs, and KPI dashboards.
• Understanding of cash-pay healthcare, lead management, patient retention, and ethical sales practices.
• Working knowledge of HIPAA, California wage-and-hour requirements, and healthcare operational compliance.
• Strong organizational, communication, analytical, and problem-solving skills; comfortable with EMR, CRM, payroll, and scheduling technology.

Responsibilities

• Lead daily clinic operations and coordinate front office, patient care, clinical support, compliance, and vendor workflows.
• Manage administrative and logistics staff; ensure efficient patient scheduling, appointments, follow-ups, cancellations, and patient flow.
• Coordinate provider schedules, support coverage, and time-off requests while respecting clinical autonomy.
• Develop and maintain SOPs, training processes, and operational quality standards.
• Oversee administrative HIPAA/privacy procedures, employee documentation, workplace safety, and regulatory compliance.
• Build a culture of professionalism, discretion, teamwork, punctuality, service, and measurable results.
