Full-Time | On-Site | Regenerative Medicine Sexual Wellness Concierge Healthcare

Base salary: $90,000–$130,000 annually

Reports to: Stephanie Wolff, PA-C | Sole Owner & Lead Healthcare Practitioner

About Novus Anti-Aging Center

Novus Anti-Aging Center is a leading clinic focused on erectile dysfunction, regenerative medicine, sexual wellness, and longevity. Led by Stephanie Wolff, PA-C, our clinic offers Shockwave Therapy, ApexRF, Platelet-Rich Plasma (PRP), stem cell exosome-based services, Morpheus8, Botox, IV Vitamin Drips, peptide therapy, and hormone optimization for both men and women. Our approach emphasizes individualized care, clinical judgment, privacy, and exceptional service.

The Opportunity

We seek a decisive, organized, financially minded Director of Operations to lead daily business operations across the practice. This is a hands-on senior management role, not simply a front-desk supervisory position. You will manage people, systems, workflows, and business performance while enabling the owner to focus on patient care, clinical leadership, and long-term growth.

The leader we are looking for takes initiative, identifies problems early, documents solutions, holds teams accountable, and delivers an exceptional, discreet patient experience. This leader will be confident and decisive, firm but fair, highly accountable, calm under pressure, proactive, organized, financially disciplined, discreet, and respectful. You can lead difficult conversations, enforce policies consistently, earn the trust of clinicians and support teams, and turn observations into measurable improvements.

Management Authority & Decision Rights

The Director of Operations has substantial autonomy to supervise daily operations, manage schedules, enforce established policies, address routine performance concerns, and recommend improvements. The Director may investigate issues, conduct meetings, document corrective actions, and prepare hiring or termination recommendations.

Required Qualifications
  • At least 5 years of progressive leadership in medical practice management, healthcare operations, medical aesthetics, concierge care, or a related clinical setting.
  • Proven experience supervising multidisciplinary teams and managing attendance, scheduling, payroll, employee performance, and workplace conflict.
  • Experience with patient billing, operational financial reports, budgets, SOPs, and KPI dashboards.
  • Understanding of cash-pay healthcare, lead management, patient retention, and ethical sales practices.
  • Working knowledge of HIPAA, California wage-and-hour requirements, and healthcare operational compliance.
  • Strong organizational, communication, analytical, and problem-solving skills; comfortable with EMR, CRM, payroll, and scheduling technology.
Preferred Qualifications
  • Leadership in a high-revenue cash-pay practice, men’s health, regenerative medicine, hormone optimization, or medical aesthetics.
  • Experience with Power2Practice, HighLevel CRM, or comparable platforms.
  • Demonstrated success improving accountability, patient experience, efficiency, conversion, and profitability.
Key Responsibilities:
1. Clinic Operations & Practice Management
  • Lead daily clinic operations and coordinate front office, patient care, clinical support, compliance, and vendor workflows.
  • Manage administrative and logistics staff; maintain efficient patient scheduling, appointments, follow-ups, cancellations, and patient flow.
  • Coordinate provider schedules, support coverage, and time-off requests while respecting clinical autonomy.
  • Develop and maintain standard operating procedures (SOPs), training processes, and operational quality standards.
  • Manage administrative inventory, office supplies, and provider support stock; medical purchasing and medication inventory remain under designated clinical oversight.
  • Observe support-staff workflows firsthand, identify bottlenecks, and implement improvements that increase reliability and service quality.
  • Supervise administrative, front office, sales, patient care coordination, and clinical support staff; coordinate administrative processes involving providers.
  • Manage employee schedules, attendance, punctuality, timecards, requested time off, and payroll administration for all staff, including providers.
  • Set role-specific expectations, performance metrics, and accountability systems; conduct coaching, reviews, and staff meetings.
  • Interview and assess candidates; recommend hiring, promotions, compensation changes, disciplinary actions, and terminations to ownership.
  • Build a culture of professionalism, discretion, teamwork, punctuality, service, and measurable results.
3. Financial Management, Billing & Payroll
  • Oversee patient billing, collections, daily transaction totals, payment reconciliation, refunds, and follow-up on outstanding balances.
  • Administer payroll workflows, approve accurate time records, monitor overtime, and coordinate with the payroll provider.
  • Monitor revenue, staffing costs, expenses, departmental budgets, and profitability; review financial trends and recommend efficiencies.
  • Provide weekly operational dashboards and monthly performance reports to ownership, including revenue, costs, conversion, staffing, and outstanding issues.
  • Oversee administrative HIPAA/privacy procedures, employee documentation, workplace safety processes, and operational compliance with applicable state and federal requirements.
  • Coordinate with licensed clinical leadership and outside specialists on clinical compliance, patient safety, and regulated matters; do not direct independent medical judgment.
  • Manage vendor and contractor relationships, including labs, marketing agencies, suppliers, and facility service providers.
  • Review service levels, contracts, and expenses; negotiate within delegated spending limits and elevate major commitments for approval.
5. Ownership Partnership & Execution
  • Serve as the primary point of contact for routine operational and personnel matters.
  • Resolve day-to-day issues within delegated authority and bring the owner well-documented recommendations for major decisions.
  • Communicate clearly and proactively through concise weekly updates and monthly business reviews.

Base salary: $90,000–$130,000 per year, based on qualifications and experience. Benefits include paid time off, healthcare benefits or stipend, 401K, employee discounts on eligible services, professional development, and advancement opportunities. Final benefits and bonus terms will be confirmed during the hiring process.
