  • Provide flexible administrative support and special project assistance to Atlanta, Sales & Marketing, regional teams, and other departments.

DESCRIPTION

The Office Services Manager & Regional Coordinator is an energetic, resourceful, and highly organized professional who is comfortable wearing multiple hats in a corporate office environment. This role manages daily office services while providing flexible administrative and regional coordination support across Atlanta, Sales & Marketing, regional teams, and cross-functional departments. The ideal candidate is self-directed, proactive, and comfortable balancing recurring responsibilities with changing business needs, while exercising discretion, sound judgment, strong follow-through, and a collaborative approach. RESPONSIBILITIES
Administrative Support
  • Assist with scheduling meetings and travel arrangements.
  • Maintain accurate records, databases, trackers, and recurring audits, ensuring confidentiality and timely updates.
  • Prepare reports, presentations and correspondence as needed.
  • Assist in planning and executing regional, department, associate, resident, and office events, including WOW awards, regional contests, resident gatherings, training or meeting sessions, Happy Hours, GIVE events, social gatherings, and the annual Operations Conference; oversee logistics, materials, vendor contracts, and budgets as needed.
  • Serve as a liaison between regional teams and corporate departments, including participation in Regional Coordinator calls and support for related follow-up, communication, and shared priorities.
  • Assist with regional, departmental, and event budget tracking, expense reporting, and invoice coordination as needed.
  • Provide flexible administrative support and special project assistance to Atlanta, Sales & Marketing, regional teams, and other departments based on business priorities, includingSharePoint maintenance, property-level projects, data requests, and updates to management as needed.
  • Assist with resident complaint escalations by gathering information, coordinating with the appropriate regional or site team members, and supporting timely follow-up and communication as needed.
  • Other duties as assigned.
Office Services
  • Assist in organizing and enforcing office operations and procedures.
  • Partner with HR to maintain office policies as necessary.
  • Serve as the point person for office supplies, equipment, printers, conference rooms, kitchen appliances, coffee and water machines, snacks, cleaning, mail/shipping, stationery, errands, and related office service needs.
  • Coordinate with IT department on all office technology equipment and support to employees.
  • Manage office services vendor, service provider, building management, landlord, cleaning, security, renovation, and construction relationships, including invoices, service requests, billing questions, and timely issue resolution.
  • Forward weekly FedEx package containing all mail correspondence not intended for the ATL office to the Office Services Manager in Boston. This will ensure the items / communications meant for other offices are promptly redirected to the appropriate team in the Boston office.
  • Maintain badging software and perform frequent audits to be sure all badges are accounted for. Work closely with building security to ensure badges of former employees are deactivated.
  • Provide employees with first aid and AED training and maintain relationship with Cintas for AED device rental and first aid supplies.
  • Support new hires, visitors, investors, and employees from other corporate offices with onboarding, office or desk space, technology needs, visitor materials, meals, and general office support.
  • Review and help manage the annual office services budget, including planned expenditures, variance review, and timely adjustments as needed.
  • Partner with building management to develop Emergency Evacuation plan and recruit and manage floor warden volunteers. Communicate plans with all employees and keep it a part of new hire onboarding.
  • Cultivate effective working relationships with others and maintain a safe, secure, and pleasant work environment.
REQUIREMENTS
  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Prior experience as an office manager is preferred.
  • Customer service experience is preferred.
  • Demonstrated ability to handle numerous projects and tasks simultaneously.
  • Excellent communication and dispute resolution skills, strong customer service focus.
  • Proficient in Microsoft Office (Word, Excel, and PowerPoint)
  • Able to prioritize competing tasks and work independently under pressure.
  • Flexible with their schedule and expected to work occasional overtime.
  • Must be in office 5 days a week.
COMPENSATION
  • Our company considers a range of factors including education and experience when determining base compensation.
  • Compensation range: $70,000 - $80,000 + 5% bonus potential.
