Job description

We are seeking a highly organized, proactive, and detail-oriented Office Operations Manager to oversee the day-to-day administrative operations of the company. This individual will play an important role in keeping the office running efficiently, supporting leadership and employees, coordinating vendors and external partners, and ensuring administrative processes are organized and up to date.

The ideal candidate is resourceful, professional, and comfortable managing multiple priorities in a fast-paced environment. This role requires someone who can take initiative, anticipate needs, and ensure that day-to-day office operations run smoothly.

Key Responsibilities:

  • Oversee the day-to-day administrative operations of the office.
  • Coordinate office supplies, equipment, maintenance, and vendor relationships.
  • Manage administrative processes, records, documentation, and office procedures.
  • Support the CEO and leadership team with scheduling, coordination, and administrative needs.
  • Coordinate meetings, events, and internal activities as needed.
  • Assist with invoices, expenses, and basic administrative financial tasks.
  • Serve as a point of contact for vendors, service providers, and other external partners.
  • Help ensure company policies, procedures, and administrative requirements are followed.
  • Coordinate onboarding and offboarding logistics for employees.
  • Support communication and coordination across teams to ensure administrative needs are addressed efficiently.
  • Identify opportunities to improve office processes, organization, and overall efficiency.
  • Handle confidential information with professionalism and discretion.

Requirements:

  • 3+ years of experience in office management, administration, operations, or a related role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office and/or Google Workspace.
  • Ability to work independently and take initiative.
  • Professional, resourceful, and solution-oriented approach.
  • Strong interpersonal skills and ability to work effectively with leadership, employees, vendors, and external partners.
  • Previous experience supporting executives or managing office operations is a plus.

Preferred Qualifications:

  • Experience in a fast-paced or growing organization.
  • Experience coordinating vendors and external service providers.Familiarity with basic budgeting, expenses, and administrative financial processes.
