Qualifications

  • 3+ years in office management, administration, workplace services or related field.
  • Proficiency with Microsoft Office Suite and Zoom.
  • Associate degree preferred.
  • Valid driver's license and ability to travel between Boston and Lowell.

Responsibilities

  • Serve as the face of the organization, welcoming visitors with professional first impressions and strong customer service.
  • Oversee day-to-day administration of our Boston and Lowell offices, ensuring organized, well-stocked workspaces.
  • Build positive relationships with employees, tenants, vendors, service providers, and visitors.
  • Coordinate meetings, office tours, and company events, including catering and hospitality services.
  • Manage office supplies, inventory, mail, deliveries, and vendor relationships.
  • Provide administrative support to leadership and assist with special projects and onboarding.
  • Support employee onboarding activities, including workplace setup and uniform coordination.
  • Anticipate needs, troubleshoot issues, and take ownership of problems through resolution.
  • Identify opportunities to improve processes and enhance the workplace experience.
  • Maintain confidentiality and handle sensitive information with discretion.

We're looking for an organized, resourceful, and personable Office Manager & Front Desk Coordinator who serves as the central point of connection for our workplace. This highly visible, hands‑on role is responsible for creating a professional, welcoming, and efficient environment for employees, visitors, tenants, and business partners across our Boston and Lowell locations.

Essential Duties & Responsibilities
  • Serve as the face of the organization, welcoming visitors and creating a friendly, professional first impression while providing exceptional customer service.
  • Oversee the day‑to‑day administration of our Boston and Lowell offices, ensuring workspaces are organized, well‑stocked, and operating efficiently.
  • Buildpositive working relationships with employees, tenants, vendors, service providers, and visitors.
  • Coordinate meetings, office tours, and company events, including catering and hospitality services.
  • Manage office supplies, inventory, mail, deliveries, and vendor relationships.
  • Provide administrative support to leadership and assist with special projects and changing business needs.
  • Support employee onboarding activities, including workplace setup and uniform coordination.

  • Pitch in wherever needed to support the team and keep day‑to‑day operations running smoothly.
  • Foresee issues and collaboration on resolutions.
  • Maintain confidentiality and handle sensitive information with professionalism and discretion.
Qualifications
  • 3+ years of experience in office management, administration, workplace services, hospitality, executive support, or a related field.
  • A warm, approachable personality and the ability to work effectively with people at all levels of an organization.
  • Strong organizational skills with the ability to manage multiple priorities and adjust quickly when needs change.
  • A calm, solutions‑oriented approach, particularly in fast‑paced or high‑pressure situations.
  • The ability to work independently, exercise good judgment, and take initiative while also being a collaborative team player.
  • A proactive, "figure it out" mindset with a willingness to take ownership and strong follow‑through.
  • Excellent communication and customer service skills.
  • Flexibility and a willingness to take on responsibilities outside of a traditional job description when needed.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and Zoom.
  • Valid driver's license and the ability to travel regularly between Boston and Lowell.
  • Associate degree preferred.
Physical Requirements
  • Ability to walk throughout office and facility environments.
  • Ability to maintain regular and reliable attendance.
  • Ability to lift and carry up to 50 pounds.
  • Ability to travel between company locations as required.
  • Ability to safely perform the essential functions of the position in accordance with applicable federal, state, and local laws.
