Job summary

The Brand Guild is seeking an experienced Office Manager (Senior Manager Level) to partner with the SVP of Operations and drive day-to-day operations for the DC office and agency-wide needs. This semi-hybrid role requires owning space strategy and budget, managing vendors, coordinating office events, and providing IT and administrative support to a dynamic, growing team of 40+.

Responsibilities

  • Serve as the true owner of the DC office space - proactively identifying, prioritizing, and executing improvements.
  • Conduct regular walkthroughs of the office to catch and resolve issues before they affect the team or clients.
  • Oversee and manage the day-to-day operations of the DC office, including maintaining office supply inventory, receiving mail and packages, preparing for in-office events, and handling facilities issues, maintenance, and improvements as needed.
  • Manage annual office operations budget (inclusive of groceries, suppliers, and office maintenance and improvements).
  • Serve as the main point of contact for all office management vendors, including landlord, security, safety systems, utilities, co-tenants, and building services.
  • Provide backup front-desk coverage outside of standard reception hours.
  • Oversee office and building storage spaces, including equipment and inventory storage.
  • Provide support for in-office meetings and company events (catering, setup, breakdown).
  • Manage trash and recycling, pest control, and dishes.
  • Manage office weather-related incidents and clean-up.
  • Manage assignment and inventory of all company computers and devices, including lifecycle and Apple repairs.
  • Provide basic IT troubleshooting support to team members.
  • Administer team access, licenses, and renewals for core software platforms.
  • Assist with employee onboarding and setup, including office access and workspace assignment.

Job description

The Brand Guild is an award-winning, mid-sized integrated communications agency with offices in Washington D.C. and NYC. and we are looking for an energetic, organized and proactive individual to join our team as Office Manager (Senior Manager Level) in our DC office. This team member will work closely with the SVP of Operations and contribute significantly to the day-to-day operations of the DC office and the agency as a whole.

Note: This position is semi-hybrid, with 4 days a week in our DC office and 1 day remote.

What You'll Do
Facilities Management
  • Serve as the true owner of the DC office space - proactively identifying, prioritizing, and executing improvements rather than waiting to be asked, while also being hands-on for the day-to-day work of running a space.
  • Conduct regular walkthroughs of the office to catch and resolve issues before they affect the team or clients, and maintain a polished, client-friendly environment at all times.
  • Oversee and manage the day-to-day operations of the DC office, including maintaining office supply inventory, receiving mail and packages, preparing for in-office events, and handling facilities issues, maintenance, and improvements as needed.
  • Manage annual office operations budget (inclusive of groceries, suppliers, and office maintenance and improvements) in coordination with the SVP of Ops.
  • Serve as the main point of contact for all office management vendors, including the landlord, security, safety systems, utilities, co-tenants, and building services (e.g., cleaning, kitchen equipment).
  • Provide backup front-desk coverage (buzzer, mail and package distribution, guest and delivery management) outside of standard reception hours.
  • Oversee office and building storage spaces, including equipment and inventory storage.
  • Provide support for in-office meetings and company events (arranging catering needs, setup, and breakdown).
  • Manage trash and recycling, pest control, and dishes.
  • Manage office weather-related incidents (e.g., snow/ice removal at entrances) and clean-up.
Team & Technology Support
  • Manage assignment and inventory of all company computers and devices, including the full hardware lifecycle (procurement, setup, repair coordination, and retirement/trade-in). Main point of contact for Apple repairs and maintenance, and administrator of the company's Apple Business account.
  • Provide basic IT troubleshooting support to team members.
  • Administer team access, licenses, and renewals for core software platforms and professional subscriptions (e.g., project management and media monitoring tools), including contracts and credentials.
  • Assist with employee onboarding and setup, including office access and workspace/desk assignment.
Administration & Documentation
  • Draft, update, and maintain internal operations documentation (e.g., emergency action plans, office reference guides, and event or access protocols).
  • Support the HR team with the planning and execution of the annual company offsite and other company events as needed.
  • Manage company swag and branded-merchandise inventory (ordering, restocking, and distribution).
