Job description

The Manager, Office Administration is responsible for overseeing day-to-day office operations and helping create an organized, engaging, and welcoming workplace. This role combines office administration, people management, event planning, employee engagement, and internal communications.

The Manager will lead office administrative staff, coordinate company events and employee engagement initiatives, support employee communications, and ensure the office operates efficiently and professionally. The ideal candidate is a highly organized, proactive, service-oriented leader who enjoys creating positive employee experiences and can effectively manage multiple priorities in a fast-paced, professional environment.

This position is 100% in-office due to the collaborative nature of this role.

The Job Essentials:
Office Administration & Operations
  • Oversee daily office operations and ensure the workplace is organized, professional, welcoming, and fully functional.
  • Manage office administrative processes, supplies, equipment, vendors, facilities needs, and related services.
  • Serve as a primary point of contact for office-related matters and proactively identify opportunities to improve workplace operations.
  • Coordinate with building management, vendors, and service providers and oversee the quality and timeliness of services.
  • Develop, maintain, and improve office procedures, standards, and administrative processes.
  • Manage office-related budgets, invoices, purchasing, and expense tracking as assigned.
  • Support workplace safety, emergency preparedness, and other office-related programs.
  • Partner closely with HR and other departments to support company-wide initiatives and employee needs.
Team Leadership & People Management
  • Manage, coach, and develop office administrative staff, providing clear direction, priorities, and ongoing feedback.
  • Establish expectations and ensure consistent, high-quality service and administrative support.
  • Manage workloads and delegate responsibilities effectively while maintaining accountability for results.
  • Conduct regular check-ins and support employee development and performance management.
  • Foster a collaborative, responsive, and solutions-oriented team culture.
  • Provide coverage and hands-on support when business needs require it.
Event Planning
  • Plan and execute company events, meetings, celebrations, and employee programs from concept through completion.
  • Coordinate event logistics, including venues, catering, transportation, invitations, communications, supplies, décor, technology, and vendor management.
  • Develop event timelines and budgets and ensure programs are delivered on time and within established parameters.
  • Manage on-site event execution and troubleshoot issues as they arise.
  • Evaluate events and identify opportunities to continuously improve the employee experience.
Employee Engagement
  • Develop and coordinate employee engagement activities that strengthen company culture, connection, and collaboration.
  • Maintain an annual calendar of employee events, recognition programs, celebrations, and engagement initiatives.
  • Partner with HR and leadership to develop programs that support employee morale and a positive workplace experience.
  • Gather employee feedback and use insights to recommend new programs or improvements to existing initiatives.
  • Support employee recognition, milestone celebrations, community involvement, and other culture-building activities.
Employee Communications
  • Draft and coordinate clear, polished, and engaging employee communications related to office operations, events, programs, announcements, and workplace initiatives.
  • Manage employee event invitations, reminders, calendars, and follow-up communications.
  • Ensure communications are timely, professional, accurate, and consistent with the company's culture and voice.
  • Partner with HR and other stakeholders on company-wide communications as needed.
  • Maintain internal office resources, calendars, distribution lists, and other communication tools.
Qualifications
  • Bachelor's degree in Business Administration, Human Resources, Communications, Hospitality, or a related field preferred.
  • 4+ years of progressive experience in office administration, workplace operations, employee experience, hospitality, or a related field.
  • 2+ years of direct people-management experience with demonstrated ability to lead, coach, and develop employees.
  • Demonstrated experience planning and executing corporate events and employee engagement programs.
  • Strong experience drafting professional employee communications.
  • Experience managing vendors, budgets, facilities, and multiple concurrent projects.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
