Job description

Administration, The Stewards of Flow

We are a 1,000-piece puzzle. Each of us is essential, interconnected, and intentionally designed. Together we create something powerful: media that matters, growth that lasts, and a culture we are proud to build.

As part of our Administration team, The Stewards of Flow , you help create the conditions that allow great work to happen. You keep our people, spaces, and day-to-day operations running with rhythm, clarity, and care, making collaboration feel seamless and intentional every day.

As Office Manager, you are the connective tissue of the office, equal parts organizer, problem-solver, and host. You anticipate needs before they arise, remove friction, and create an environment where employees, clients, and visitors feel welcomed, supported, and set up to do their best work.

WHAT YOU’LL DO

The workplace is more than a location. It’s where relationships are built, ideas come to life, and our culture becomes tangible. As Office Manager, you’ll ensure our office operates smoothly while creating an environment that is welcoming, organized, engaging, and supportive for employees, clients, and visitors alike. You’ll balance operational excellence with hospitality, helping our people feel connected to both the agency and each other.

Key Responsibilities
  • Oversee the daily operations of the office, ensuring a clean, organized, safe, and welcoming workplace.
  • Welcome employees, candidates, clients, and visitors, serving as a thoughtful ambassador for the Attention Arc experience.
  • Manage office vendors, building relationships with property management, facilities partners, office suppliers, maintenance providers, and service vendors.
  • Coordinate office maintenance, repairs, equipment needs, and facility improvements to ensure a high-quality workplace.
  • Manage office inventory, supplies, kitchen operations, snacks, beverages, and workplace amenities. Order and restock office supplies.
  • Plan and coordinate agency meetings, celebrations, employee events, volunteer activities, and culture-building experiences in partnership with the People & Experience team.
  • Support onboarding by preparing workspaces, coordinating office logistics, and helping new employees feel welcomed from day one.
  • Assist with office communications, workplace announcements, and employee resources.
  • Coordinate conference room scheduling, meeting logistics, catering, and guest hospitality.
  • Support hybrid workplace operations, helping ensure employees have the resources and support needed whether working in the office or remotely.
  • Manage office budgets, purchasing, invoices, vendor contracts, and expense tracking related to workplace operations.
  • Identify opportunities to improve workplace efficiency, employee experience, and operational processes.
  • Partner with IT, People & Experience, and department leaders to support office initiatives, employee needs, and business operations.
  • Assist with emergency preparedness, workplace safety procedures, and business continuity planning.
  • Provide administrative support and executive assistance to senior leaders as needed.
  • Support additional People & Experience initiatives and agency projects as needed.
WHAT YOU’LL BRING
Experience & Technical Expertise
  • At least 1 year of experience in Office Management, Workplace Experience, Facilities, Hospitality, Employee Experience, or a related role.
  • Experience managing office operations within a professional services, media, technology, or corporate environment is helpful.
  • Strong experience coordinating vendors, facilities, workplace services, and office operations.
  • Experience planning meetings, events, and employee engagement activities.
  • Experience managing office budgets, purchasing, invoices, and vendor relationships.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency with Microsoft Office, Google Workspace, workplace collaboration tools, and office management software.
  • Experience supporting hybrid work environments is preferred.
  • Bachelor’s degree is preferred but not required. Equivalent professional experience will also be considered.
Capabilities
  • Exceptional organizational and time management skills.
  • Strong hospitality mindset with a genuine desire to create positive experiences for others.
  • Excellent communication and interpersonal skills.
  • Highly proactive with strong attention to detail and follow-through.
  • Comfortable solving problems independently while knowing when to elevate issues.
  • Strong vendor management and relationship-building skills.
  • Financially responsible with experience managing budgets and purchasing.
  • Adaptable and calm under changing priorities and unexpected situations.
  • Naturally collaborative and eager to help wherever needed.

WHO WE ARE

We’re a media agency built for brands that value intention. At Attention Arc, we combine deliberate media craft with technology designed to amplify it. We build trusted partnerships so every decision stays aligned with what matters most. Media doesn’t fail because of technology. It fails when intention is missing.

That’s why we exist.

To restore intention to media.

At 160 people across four offices in Phoenix, Durham, Irvington, and New York City, we occupy a deliberate sweet spot: big enough to handle major brands and complex business, nimble enough to actually move, make decisions, and drive impact. No unnecessary layers. No slow-moving bureaucracy. Just sharp thinking, fast execution, and technology that helps people do their best work.

Our culture is shaped by our values:

  • All In : We show up with intensity and ownership.
  • No Sidelines : We collaborate without ego or boundaries.
  • Move With Curiosity : We ask why, explore boldly, and learn fast.
  • Truth With Heart : We communicate with honesty and empathy.
OUR COMMITMENT TO INCLUSION

At Attention Arc, we believe people do their best work when they feel they belong. Inclusion isn’t just about representation. It’s about creating an environment where people feel seen, supported, and comfortable showing up as themselves.

We value different lived experiences and perspectives and actively create space for those voices to shape our work. We’re committed to building an agency where everyone has a genuine seat at the table and is trusted to contribute, fostering collaboration, encouraging curiosity, and creating opportunities for people to take ownership and make an impact.

Because when people feel heard, respected, and confident to step forward, we all move forward together.

WHAT WE OFFER

Compensation: The estimated salary range for this role is $50,000 to $55,000. Compensation packages are based on the skill level and experience each candidate brings to the role.

We are committed to rewarding our people fairly and supporting their growth with intention. Our salaries are competitive, thoughtfully benchmarked, and designed to ensure equity across roles, experience, and impact. Growth at Attention Arc isn’t tied to a calendar. It’s driven by performance, progress, and potential.
