About The Role
The role owns the day-to-day operations of a growing San Francisco technology company: office logistics, vendor management, onboarding coordination, and the systems that keep a hybrid team running smoothly.
This is a high-impact position at a well-funded company — the person in this seat directly shapes employee experience, team productivity, and how efficiently the business operates as it scales.
Key Responsibilities
- Own office operations end-to-end: facilities coordination, supplies, equipment, mail, and day-to-day logistics for the San Francisco team
- Manage vendor relationships and contracts — caterers, cleaning services, office leases, IT equipment suppliers — including negotiating terms and tracking renewals
- Coordinate onboarding for new hires: workspace setup, equipment provisioning with IT, welcome logistics, and first-week scheduling
- Plan and execute company events, offsites, all-hands meetings, and team celebrations, managing budgets and timelines independently
- Administer workplace tools and systems including expense workflows (Ramp, Expensify, or similar), HRIS data hygiene, and office management software
- Support recruiting logistics: interview scheduling, candidate coordination, and travel arrangements
- Serve as the primary point of contact for facilities issues, safety protocols, and compliance-related workplace requirements
What We Are Looking For
- 3-6 years of office management or administrative operations experience, ideally in a technology or startup environment
- Demonstrated ability to run projects independently, from vendor selection through execution and follow-up
- Hands-on proficiency with Google Workspace, Slack, and expense/HRIS platforms (BambooHR, Rippling, Gusto, or similar)
- Strong vendor management skills with experience negotiating contracts and managing service-level expectations
- Excellent written and verbal communication; comfortable interacting with executives and cross-functional partners daily
- Bachelor's degree in business administration, operations, or a related field, or equivalent practical experience
- Bonus: experience with facilities management, event production, bookkeeping basics (QuickBooks), or supporting a fully remote/hybrid workforce
