Small Multi-Family Office / Accounting Firm
Position Summary
The Office Manager is responsible for the day-to-day administrative, operational, and office management functions of a small multi-family office and accounting firm. This role ensures efficient office operations, supports the team, coordinates client service activities, manages facilities, and assists with bookkeeping, compliance, and special projects. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage a wide range of responsibilities in a professional environment where discretion and confidentiality are paramount. This new position will supplement and/or overlap with existing part-time office manager to fulfil firm needs.
Key Responsibilities
Office Administration & Operations
- Manage daily office operations and ensure smooth workflow across the firm.
- Receive, sort, scan and distribute incoming mail and coordinate outgoing mail and deliveries.
- Run office-related errands and make deliveries to clients, vendors, financial institutions, and other external parties as needed.
- Manage office supplies, equipment, and refreshments; place orders as needed.
- Coordinate office maintenance, repairs, and vendor services.
- Coordinate with outsourced I.T. group to support employee and office technology.
- Recommend and implement improvements to office procedures and administrative systems.
Document & Records Management
- Maintain organized electronic filing systems for firm and client records.
- Manage digital document filing systems, including secure and encrypted files.
- Ensure accurate filing and retrieval of correspondence, reports, and other business records.
- Support accurate organization of client files and administrative records.
- Maintain strict confidentiality and secure handling of sensitive client and firm information.
Client Service & Accounting Support
- Serve as a primary administrative contact for internal team.
- Support client onboarding by coordinating document collection and administrative requirements.
- Track recurring client deliverables, tax deadlines, regulatory filings, and special projects to ensure timely completion.
- Deposit checks as needed.
- Coordinate with accounting/bookkeeping team related to documentation.
- Coordinate client gifts and acknowledgments, including birthday and holiday gifts.
Employee & Business Support
- Plan and coordinate employee events, including birthday celebrations, holiday parties, team lunches, and happy hours.
- Process and monitor recurring business expenses, subscriptions, utilities, and vendor payments.Support internal bookkeeping, expense tracking, and recordkeeping activities.
- Assist with special projects and administrative initiatives as assigned.
Qualifications
Required
- Associate's degree or equivalent professional experience.
- 3–7 years of office management, administrative management, or operations experience.
- Strong proficiency with Microsoft Outlook, Excel, Word, PDFs, and other business productivity tools.
- Excellent organizational and multitasking skills.
- Strong verbal and written communication skills with a personable and positive attitude.
- Ability to work independently and prioritize competing responsibilities.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- High level of honesty, integrity, and trustworthiness, particularly regarding client privacy and sensitive information.
- Exceptional attention to detail and follow-through.

Preferred
- Experience in an accounting firm, family office, wealth management firm, law firm, or other professional services environment.
- Familiarity with QuickBooks, document management systems, and emerging productivity technologies, including AI-enabled business tools.
- Basic bookkeeping knowledge.
- Licensed notary, or willing to become one.

Compensation and Benefits
- Compensation $25 - $30 per hour, depending on experience
