Job description

Beacon Hill was founded to set a new standard in search, career placement and flexible staffing. Our client, a leading private investment firm located in downtown Austin, is seeking an Office Manager to oversee daily office operations and create a premium, welcoming, and highly functional workplace for its growing Austin team. This individual will manage office readiness, supplies, vendors, facilities, meeting spaces, new-hire preparation, guest services, events, and the overall employee experience. They will also build strong relationships across the office, anticipate employee needs, resolve operational issues proactively, and partner with Office Management colleagues in New York and San Francisco to deliver a consistent firmwide experience. The ideal environment is collaborative, fast-paced, high-touch, and low-ego, with an emphasis on excellent service, thoughtful communication, accountability, and follow-through. This is a direct-hire position working fully onsite in Austin, Monday through Friday from 9:00 AM-5:00 PM, with occasional early-morning or after-hours flexibility.

Job Responsibilities
  • Own the daily readiness and operation of the Austin office, ensuring that conference rooms, kitchens, shared spaces, supplies, technology, and office resources remain organized, stocked, clean, and fully functional.
  • Build trusted relationships across the Austin team and develop a strong understanding of employee preferences, recurring needs, priorities, and the overall pulse of the office.
  • Manage office inventory, purchasing, supplies, facilities requests, building management relationships, security coordination, and vendor performance.
  • Proactively identify and resolve operational issues before they become employee pain points or require escalation.
  • Coordinate new-hire office readiness, including badges, workstations, equipment, welcome materials, security access, and other Day 1 details.
  • Deliver a polished, welcoming, and white-glove experience for employees, candidates, new hires, guests, and visitors.
  • Coordinate office events, celebrations, employee milestones, recurring programming, and intentional workplace experience initiatives that strengthen the Austin office community.
  • Maintain accurate office documentation, calendars, vendor information, resources, procedures, signage, and operational communications.
  • Partner with Office Management colleagues in New York and San Francisco on cross-office initiatives, shared standards, process improvements, and the development of an Alpine Office Playbook.
  • Manage competing priorities, last-minute changes, vendor issues, urgent employee needs, and occasional early or after-hours responsibilities with composure and strong follow-through.
Qualifications
  • Approximately 3+ years of professional experience in office operations, workplace experience, hospitality, employee experience, facilities coordination, guest services, or another high-touch service environment.
  • Warm, mature, approachable, and genuinely service-minded, with a natural ability to build authentic relationships across personalities and levels of seniority.
  • Clear and precise written and verbal communication skills, with the judgment to communicate proactively, ask clarifying questions, and escalation issues appropriately.
  • Strong organizational and operational instincts, including the ability to manage multiple priorities without sacrificing accuracy, responsiveness, or follow-through.
  • Proactive and observant approach, with the ability to anticipate needs, recognize potential issues, and take ownership without waiting for detailed instructions.
  • High emotional intelligence, discretion, sound judgment, professional boundaries, and the ability to handle sensitive information appropriately.
  • Genuine long-term interest in Office Experience, employee experience, hospitality, workplace operations, or future growth into broader Office Management responsibilities.
  • Comfortable working fully onsite in Austin five days per week, with occasional early-morning or after-hours availability and limited travel of approximately 10%.
