Schedule
- Monday–Friday, 12:00 PM–4:00 PM
- Located at our Monona Office
- 20 hours/week
- $17–$19/hour, based on experience
- PTO and paid holidays
Key Responsibilities
Office Management
- Keep common areas stocked and organized
- Maintain overall cleanliness and tidiness of the office
- Monitor and reorder office supplies as needed
- Coordinate with vendors/service providers for office upkeep (cleaning, maintenance, etc.)
Mail & Deposits
- Sort and distribute incoming mail
- Prepare outgoing mail and packages
- Process and prepare bank deposits
Administrative Support
- Assist agents and staff with day-to-day administrative tasks
- Help with filing, document organization, and basic data entry
- Answer phones and greet visitors as needed
- Support brokerage leadership with miscellaneous projects as they arise
- Help onboard new agents with paperwork and office orientation
- Maintain office calendars and help schedule conference rooms/meetings
Social Media & Marketing Support
- Assist with scheduling and posting content across the brokerage's social media accounts
- Help create simple graphics or content for agent recognition, listings, or office announcements
- Support marketing efforts for brokerage events and promotions
Event Planning & Coordination
- Help plan and coordinate office events (holiday parties, agent appreciation events, trainings)
- Assist with logistics for sales meetings and team leader calls (catering, room setup, materials)
- Support planning for association or community events the brokerage participates in
Qualifications
- Prior office administration or front-desk experience preferred
- Strong organizational skills and attention to detail
- Comfortable working independently with minimal supervision
- Friendly, professional demeanor - this person is often the first point of contact for the office
- Basic computer proficiency (email, Microsoft Office or similar)
- Comfort with social media platforms (Facebook, Instagram) a plus
