Job description

The Office Administrator must ensure that all employees’ and visitors’ needs are dealt with efficiently and properly with the highest level of customer service. Each area of duties is designed to ensure that the Office Administrator position provides the proper first impression of the company to all visitors and staff.

Key Duties, Responsibilities and Accountabilities
Reception Duties
  • Greet visitors and direct them to meetings or appointments

  • Handle basic inquiries of visitors and HWI staff
  • Place, receive and route incoming calls through switchboard and provide information to callers in a professional manner
  • Arrange car service for visitors and HWI staff
Logistics Duties
  • Maintain the reception area, kitchens, and printer stations in an orderly and tidy manner by removing clutter and keeping each area clean.
  • Manage and place supplies for the 717 office
  • Accept deliveries and arrange for FedEx mailings
Administrative Duties
  • Sort and distribute incoming mail
  • Provide support to the HR team, including but not limited to preparing new hire packets, requesting building access cards for new employees, and coding invoices
  • Order business cards for colleagues when needed

Job Qualifications
  • Bachelor‘s degree and a minimum of 1-2 years of administrative experience
